The ideal candidate for the Procurement Coordinator has experience working in a collaborative environment to deliver FF&E projects from concept to completion, including procurement of FF&E, tracking FF&E costs, coordination of delivery, installation, and punch listing. The ideal candidate is organized, detail oriented, and possess great communication, and time-management skills to oversee multiple projects at one time.Responsibilities include but are not limited to:  
  • Work with Procurement Manager to develop statement of work narratives for procurement opportunities.
  • Assist Procurement Manager to support the entire FF&E process, with varying scopes by project, including but not limited to writing detailed Sales Agreements and manufacturer Purchase Orders.
  • Assist Procurement Manager in conceptualization and preparation of project specific FF&E budgets and schedules.
  • Oversee quotes and bids from vendors for specified FF&E items and incorporation into various project budgets.
  • Understanding, organization, and dissemination of contract specifications for bidding and purchase order issuance
  • Verification of product availability, shipping, delivery, and order correctness
  • Maintain and update overall project schedules.
  • Follow up on resolution of vendor issues of quality and timing of delivery.
  • Oversee communications with freight & logistics companies, ensuring timely delivery and resolving outstanding issues.
  • Communication and coordination of installation with receiving warehouse, installer, designer, developer, and constructor
  • Follow up on punch list items and repair of damages, etc. until resolved.
  • Assist in continuous budget tracking from project initiation to close-out.
  • Support Procurement Manager and design team with current/working knowledge of applicable resources, vendors and manufacturers, pricing schedules, freight and delivery terms and product leads times
  • Assist in maintaining third party relationships
  • Assist Procurement Manager, designer/PM with client communication throughout entire FFE process
Professional Skills/Knowledge/Customer Service 
  • Associates or Bachelors in field related business, interior architecture/design
  • 1-3 years’ experience in customer service, preferably with a Contract/Commercial Furniture Dealer (vendor) or architecture/interior design firm
  • Knowledge of QuickBooks accounting software
  • Microsoft Office & Excel
  • Understanding of contract documentation, ability to read and understand furniture plans and specifications.
  • Excellent verbal communication skills
  • Takes initiative, provides prompt action, clarifies questions in a timely manner.
  • Responsible, and a self-starter with a proactive mindset to act rather than respond to problems.

Reporting Relationship: Procurement ManagerSupervisory Responsibility:This is not a supervisory position.Work EnvironmentThis job operates in a professional office environment with hybrid schedule capability. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical DemandsThis position requires no minimum ability to lift, bend or stand. Position Type and Expected Hours of WorkThis is a full-time position, with a minimum expectation of 40 hours per week. Hours are flexible.TravelMinimal travel is expected for this position.
