Law Firm - Northeastern Franklin County (Ohio) is Hiring a Law Firm Office Manager/Administrative Assistant Near Albany, OH

The Office Manager/Administrative Assistant will provide comprehensive administrative, billing, and clerical support to ten lawyers in a highly respected boutique law firm located in northeastern Franklin County. This role requires exceptional organizational skills and attention to detail, as the firm works with a long list of blue-chip clients. The person in this position is responsible for general management of the daily operations of the firm, reporting to the managing partner and assisting all attorneys in the preparation of legal documents, billing and collections, and communications with clients. Invoice preparation, time entry, and financial account reconciliation skills are essential. Strong written and oral communications skills and the ability to work independently but also collaboratively are important for this role.

Responsibilities:

  1. File Management: Assist lawyers in maintaining legal files, tracking important deadlines, and managing document databases.
  2. Billing and Timekeeping: Assist with tracking billable hours, preparing invoices, and managing billing records for clients.
  3. Client Communication: Communicate with clients and external parties to schedule meetings, gather information, and provide updates on files while maintaining confidentiality and professionalism.
  4. Calendar and Schedule Management: Coordinate and manage attorney calendars, including scheduling meetings, and ensure timely reminders and follow-up.
  5. Administrative Support: Provide general administrative support such as answering phone calls, responding to emails, managing correspondence, organizing meetings, and maintaining office supplies and equipment.
  6. Database Management: Maintain and update file databases, ensuring accurate and accessible storage of documents and information.
  7. Collaboration and Teamwork: Collaborate with attorneys to support the smooth operation of the firm, including providing backup support and assisting with overflow tasks as needed.

Requirements:

  1. Education/Experience: A combination of relevant work experience and education shall be considered. Candidates with no experience in billing, timekeeping, and recording and applying payments will not be considered.
  2. Legal Knowledge: General understanding of legal terminology, procedures, and document preparation. Familiarity with real estate is advantageous.
  3. Organizational Skills: Exceptional organizational abilities with attention to detail, enabling the efficient management of multiple tasks, deadlines, and priorities.
  4. Communication Skills: Strong written and verbal communication skills to effectively interact with clients, legal professionals, and others.
  5. Research Skills: Proficient in research techniques, utilizing both online and offline resources to gather information.
  6. Technology Proficiency: Competence in using document management systems, Microsoft Office Suite (Word, Excel, PowerPoint), and other relevant software.
  7. Confidentiality: High level of integrity and ability to handle confidential information with utmost discretion and professionalism.
  8. Time Management: Excellent time management skills, with the ability to work independently, prioritize tasks, and meet deadlines.
  9. Team Player: Willingness to collaborate with others, take initiative, and provide support to colleagues when needed.
  10. Adaptability: Ability to adapt quickly to changing priorities, work effectively under pressure, and demonstrate flexibility in a dynamic legal environment.
