JOB SUMMARY
The Office Support III performs secretarial duties including formatting and typing documents for the Controller and Deputy Controller. Attends Salary Board, Prison Board, Youth Intervention Center Board and Retirement Board meetings to document and write minutes to be reviewed by the Controller. Information is often sensitive.

Account Clerk duties: Maintains written record of incoming bid documents. Maintains Controller's form supply inventory balance and usage count. Contacts supply vendors for pricing and to place purchase orders. Enters purchase requisitions using PeopleSoft software. Maintains and orders supplies from Purchasing warehouse for the office staff - files, correspondence, etc. Participates in special projects as assigned.

Secretarial duties: Acts as receptionist for the Controller's office by greeting visitors, answering telephone, and taking messages. Responsible for filing, copying, and distributing mail. As the lead secretary, performs all secretarial duties including formatting and typing documents and correspondence. Assists the A/P & Payroll Supervisors with the distribution of checks. Issues vouchers to pay retirement plan invoices.
MINIMUM QUALIFICATIONS
Candidate must have a high school diploma (or equivalent) and must be able to read, write, and reason.

Four years’ previous experience as a clerk typist, account clerk, or secretary is required.


KNOWLEDGE, SKILLS, AND ABILITIES

Typing (40-45 words /minute) accurately.

Microsoft Word experience.

Microsoft Excel experience preferred.

PeopleSoft experience is a plus.


REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES

No licenses. certifications, or clearances required.


PHYSICAL REQUIREMENTS/WORK ENVIRONMENT

Work is primarily sedentary in nature, ability to lift up to 30 pounds, no special demands are required.
