JOB SUMMARY

Perform a variety of clerical and secretarial duties.

REPORTING RELATIONSHIPS

Position reports to Office Support Supervisor

ESSENTIAL JOB FUNCTIONS

Prepare correspondence and memorandums and complete forms. Collect and input data into PACSES statewide computer system. Communicate with the public over the telephone or in person. Collect and process information from the public needed to decide how to assist the public either through referral to appropriate co-worker or by providing direct information or assistance. Follow policies and procedures related to the processing of information and confidentiality of information. Take accurate and complete messages. (50%)

Prepare and/or process legal documents including filings; scheduling orders; a variety of support orders and enforcement orders; incoming and outgoing requests for information from external sources. Follow policies related to management of case records including case file maintenance, data maintenance and electronic records management. Scan paper records to create electronic records. (50%)

The percentage of time spent on essential duties may vary as the needs of the job require.

OTHER SPECIFIC TASKS OR DUTIES

Adhere to established safety and security procedures. Report safety and security concerns to office management.

Attend and successfully complete all training courses mandated by the DRS/BCSE.

Perform other duties as assigned.

MINIMUM QUALIFICATIONS

Must have a high school diploma or education equivalent. Experience in an office working environment preferred.

KNOWLEDGE, SKILLS AND ABILITIES

Knowledge of the child support program. Proficient in use of office equipment including typewriter (minimum 45 wpm), personal computer, telephone, copying machine, fax machine and calculator. Must possess knowledge and ability to prepare standard business forms, correspondence, and legal documents.

Applicants should be able to communicate, problem solve, remain calm in stressful environment, work independently, follow directions, read, and comprehend procedures, and complete forms. Ability to perform work assignments under the normal working conditions under which the job operates.

REQUIRED LICENSES/CERTIFICATIONS/CLEARANCES

Ability to utilize a personal computer, laptop, calculator, and other general office equipment

Ability to pull or push carts containing multiple files.

Ability to travel up to 5 city blocks.

Ability to move from workstation to secure public meeting area.

Ability to escort clients to/from waiting area from/to secure meeting rooms.

Ability to meet multiple demands in a high stress and constantly changing work environment.

Ability to function in an open work environment with moderate noise levels.
