    JOB SUMMARY: The Payroll portion of this role is responsible for all aspects of payroll, including preparing, submitting, and reporting. Payroll communicates with employees, reports, coordinates, and maintains all payroll records and manages employee leave balances, payouts, deductions and payment for benefits. Payroll is also responsible for Accounts Receivable duties, which include reviewing, entering and depositing all receipts, and invoicing. In addition, Payroll provides support to the Assistant Business Manager in the areas of Food Service, Production Accounts and the Foundation. This position will serve as backup to Accounts Payable. Additional duties may be assigned by the Business Manager.
    ESSENTIAL RESPONSIBILITIES/SKILLS/FUNCTIONS:
    1.Payroll Processing
    • Collect time sheets and adjust timecard entries as necessary
    • Calculate retroactive pay when applicable
    • Data entry regarding changes to payroll information including but not limited to W4’s, direct deposit, and wage rates
    • Deactivates employees in FIS and timekeeping systems after employment termination
    • Responds to employee inquiries in a timely manner regarding payroll information and trouble-shoots in an attempt to resolve employee payroll concerns
    • Administers payroll cycle on a bi-weekly basis including the preparation, review, analysis and submission of payroll data
    • Prepare payroll and reconcile taxes for the local, state, and federal agencies
    • Processes 403 (b) and other specialized retirement payments
    • Processes HSA and FSA deposits
    • Tracking and reporting of non-elective employee deductions
    • Assist the HR Department on the Civil Rights Data Collection reporting
    2. Benefits Administration
    • Assists the Business Manager with benefit cost management
    • Verifies the calculation of the monthly premiums statements for all group insurance policies and resolves discrepancies with the carrier representatives.
    • Processes vendor benefit payments
    • Reconciliation of headcount and benefit elections
    3. Reporting
    • Prepare payroll reports (including New Hire, PSERS, local, state and federal)
    • Maintain reports for insurances, worker’s compensation, and unemployment reporting
    • HIPAA compliance
    • Audit and other Business Office reporting as required on a monthly, quarterly, or annual basis
    4. Accounting – Accounts Receivable
    • Maintain accounts receivable on a daily and weekly basis
    • Post revenues by verifying and entering transactions
    • Prepare and deliver cash and check deposits to the bank
    • Work with Supervisor to keep accounts up to date
    • Process Petty Cash
    • Prepare invoices and track/communicate late payments to the Business Manager
    • Provides support to the Assistant Business Manager in the areas of Food Service, Production Accounts and the Foundation
    5. Backup to Accounts Payable
    6. Keep current on regulations and trends in payroll, A/R and school business

    7. Other duties as assigned
    PERSONAL & TECHNICAL SKILLS:
    • Excellent interpersonal skills, customer services, communication
      (verbal and written), well organized, attention to detail, strong work ethic, and confidentiality of sensitive employee/employer information.
    • Excellent office software knowledge required (including MS Word, Excel and Outlook), CSIU Financial software a plus. Must be able to type, operate phone equipment, understand and analyze numbers using basic accounting and payroll principles. Research issues and questions while maintaining focus and attention to detail despite repetitive tasks and interruptions. Valid Driver’s License.
    EDUCATION & EXPERIENCE:
    • High school diploma or equivalent with some post-secondary education preferred
    • 1 to 3 years’ experience in payroll, accounting, and/or benefit administration
    • Excellent communication skills
    • Excellent typing and computer skills; particularly Excel, Word, adding machine, and telephone communications.
    Schedule: Monday - Friday, 37.50 hours per week, 260 days per year
    Salary: $21.87 - $26.25 per hour, based on experience and education
