Kwest HR Coordinator Position Description

Position: Human Resources Coordinator

Report to: Human Resources Manager

Job Description Overview

The Human Resources (HR) Coordinator will be responsible for ensuring efficiency and timeliness of HR programs and services including, recruiting, new employee processing, compliance, records management, and employee relations. The HR Coordinator will perform these functions by utilizing strong problem solving and decision-making skills with a deep understanding of employee relationships, staffing management, process improvement, and efficient use of time.

Wage & Benefits

  • $25.00/hour with 90-day and annual evaluations.
  • Weekly pay.
  • 40 - 45 hours a week.
  • Overtime pay (time and a half) after 40 hours. Must be approved by management.
  • Medical, Dental, Vision, Life, Hospital Confinement, Accident and Critical Illness insurance coverages begin on 61st day of employment.
  • 401k with 4% match.

Essential Duties and Responsibilities

  • Responsible for working with the HR team to answer all internal and external HR inquiries and requests. Consults with managers on HR policies and processes.
  • Partners with directors and managers to determine staffing needs – both current and prospective.
  • Posts vacant positions internally and externally and reviews all candidates for qualifications against the open roles.
  • Converts recruits to working candidates by collaborating closely with directors and managers to place new hires.
  • Assists with the recruiting process by identifying candidates, performing phone screens, scheduling on-site interviews, obtaining reference checks, sending formal offer letters, and obtaining new hire documentation.
  • Develops and plans prospecting strategies to pursue new avenues for recruiting candidates utilizing a variety of tools (i.e., email, telephone, social media) to establish relationships and expand applicant pool. Attends and participates in college job fairs and recruiting sessions.
  • Facilitates new hire process in conjunction with hiring managers and regional administrative staff. Completes and tracks required documentation, schedules pre-employment testing and collects results, and communicates with new staff and managers regarding timelines to start.
  • Participates in the HR performance management process and administrative staff meetings. Attends other meetings and continuous learning seminars.
  • Keeps up to date with the latest HR trends and best practices. Further knowledge and education regularly through workshops, research, and seminars, and share best practices, and local recruiting ideas and tactics with the team.
  • Issue and ensure completion of pre-employment, random and annual drug tests, while updating records in appropriate locations.
  • Keep active file of pre-employment, random and annual drug tests in accordance with DOT, FRA, company polices and other regulations, as necessary.
  • Ensures compliance with all federal and local labor laws across a variety of initiatives.
  • Recommends innovative approaches to improve efficiency of the department and services performed continually.
  • Assists or prepares company correspondence as requested.
  • All other duties as assigned.

Qualifications

  • Bachelor's degree in human resources or related field and/or equivalent experience.
  • At least two years related experience preferred. Plus, if experience is in the construction industry.
  • Must possess an elevated level of knowledge in full cycle recruiting components, including sourcing, qualifying, networking, assessing, legal, relationship management, and due diligence.
  • Ability to create and implement sourcing strategies for recruitment for a variety of roles.
  • Proactive and independent with the ability to take initiative.
  • Excellent time management skills with a proven ability to meet deadline.
  • Proficient with or the ability to quickly learn applicant-tracking software or other recruitment systems.
  • Excellent organizational skills and attention to detail.
  • Ability to function well in a high-paced and at times stressful environment.
  • Excellent writing, communication, and presentation skills.
  • Proficiency in full Microsoft Office suite, especially with Excel and PowerPoint.
  • Full understanding of HR functions and best practices.
  • Effective HR administration and people management skills.
  • Must be able to work a flexible schedule, including evening and weekend hours, as needed.

Growth Projection

  • 1 – 2 years as an HR Coordinator
  • 2 – 3 years as an HR Specialist
  • 1 – 2 years as an HR Generalist
