KU Memorial Union is Hiring a HR Administrative Specialist Near Lawrence, KS

ABOUT THIS JOB:

The Human Resources and Administrative Support Specialist at KU Dining plays a pivotal role in our Residential Dining Units. This mid-level leadership position is responsible for a range of administrative, HR, and staffing duties, with a specific emphasis on interviewing, scheduling, onboarding, and employee interaction. Proficiency in dining systems and technology is paramount. The role demands autonomy and flexibility, including some rotating night and weekend shifts to accommodate the business's needs. Focused on the residential units of Ekdahl and Studio, they will also support the other two residential units as needed.

FULL DESCRIPTION:

Supervision Received & Given: Receives supervision from the Multi Unit Manager of Ekdahl Dining

Key Responsibilities:

1. Adaptability:

  • Efficiently multitask and manage competing demands.
  • Seamlessly adapt to changes in the work environment.
  • Complete daily administrative tasks included but not limited to; entering Serving Line Worksheets, timekeeping accuracy, and other administrative tasks as assigned

2. Communication:

  • Foster strong interpersonal relationships with all staff to serve as a liaison between employees and unit leaders, addressing questions and concerns.
  • Act as the point of contact for all scheduling needs, ensuring effective communication and keep availabilities entered and hours wanted tracked

3. Cost Consciousness:

  • Manage and maintain the weekly procurement budget as directed by unit leadership
  • Engage in weekly forecasting, assist with ordering, and oversee the receipt of daily vendor orders.
  • Collaborate with the leadership team to ensure the smooth operation of the Food Management System, including its processes and procedures.

4. Cooperation:

  • Effectively manage the unit's schedule, ensuring completion and accurate availability needs
  • Facilitate the onboarding process for new hires and provide ongoing support, including in-unit day one orientation and all initial onboarding processes.

5. Quality:

  • Manage all hiring queues, including regular contact, scheduling and conducting interviews.
  • Utilize schedule to identify staffing needs
  • Keep accurate needs posted and taken down from the external site

6. Use of Technology:

  • Conduct data entry into the CBORD-FSS system.
  • Collect daily serving line worksheets and input data accurately.
  • Perform other duties as assigned.

Required Knowledge, Abilities & Skills:

Proficiency in personal computer use, including Excel, Word, and data entry techniques.

Ability to maintain numerical accuracy while working efficiently and swiftly with a high level of precision.

Strong aptitude for following written and verbal instructions.

Excellent communication skills, both oral and written, enabling effective interaction with individuals from diverse backgrounds, with varying goals and philosophies.

Physical capability to meet above-average requirements when necessary, including stooping, bending, extensive walking, prolonged standing, and lifting objects weighing up to 50 pounds.

Minimum Qualifications:

Strong understanding of HR practices, including recruitment, onboarding, benefits administration, and employment laws.

Proficiency in scheduling software and tools to efficiently manage employee schedules and optimize staffing.

Proven problem-solving skills to address staffing challenges, resolve conflicts, and find innovative solutions.

Exceptional attention to detail when handling HR records, employee documentation, and scheduling accuracy.

Strong verbal and written communication skills to convey complex information clearly and foster positive employee interactions.

Preferred Qualifications:

1. Experience in foodservice operations.

2. Some background in retail sales, ordering, purchasing, and inventory control.

Full-time employment with the Union Corporation is contingent upon satisfactory completion of a background check prior to being able to begin work. This position is eligible for an employee referral bonus.
