Position Summary:
We are seeking a motivated Administrative Assistant to join our legal team. The ideal candidate will be responsible for providing comprehensive administrative support, handling a variety of tasks ranging from research projects, document review, internal investigations, to coordination between internal departments and external legal firms. Exceptional Microsoft Word and Excel skills, critical thinking, and the ability to work independently are crucial for success in this role.
Some of the work that you will do:
  • Legal Support: Report directly to our in-house attorney, assisting with legal and risk matters, including document preparation, legal research, and risk assessment.
  • Investigations: Assist in internal investigations by gathering and organizing information, maintaining documentation, and preparing reports as needed.
  • Template Management: Develop and maintain templates for legal documents, contracts, and correspondence, ensuring accuracy and compliance with company standards.
  • Internal Coordination: Act as the primary liaison between the legal department and other internal departments, facilitating communication and collaboration on various projects.
  • Assist with items such as Leins, Surety Bonds, Certificate of Insurance creation/ renewal, and Workers Compensation Claims.
  • Microsoft Office Expertise: Utilize advanced features of Microsoft Word and Excel to create and edit complex legal documents, spreadsheets, presentations, and reports efficiently.
  • Interdepartmental Communication: Coordinate communication between internal managers and external legal firms to ensure timely exchange of information and documents.
  • Contract Review and Analysis: Review and analyze contracts and legal documents to identify key information, potential risks, and provide insightful recommendations to the legal team.
  • Critical Thinking: Apply critical thinking skills to assess complex legal situations and provide informed recommendations to support decision-making processes.
  • Independent Work: Demonstrate the ability to work autonomously, managing multiple tasks with minimal supervision, while maintaining accuracy and attention to detail.
Here are the skills that you need:
  • Education: High School graduate or equivalent
  • Experience: At least 4 years of related experience or a combination of education and experience.
  • Strong grammar, writing, and proofreading skills
  • Advanced computer skills including MS Office products including Office 365, Word, Excel, Outlook, Teams, and PDF-XChange Editor
  • Detail-oriented with strong organizational and time management skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent communication and customer service skills
  • Advanced clerical skills
  • Demonstrated critical thinking and problem-solving abilities
Here are the skills that will set you apart:
  • Associates degree, Paralegal certification, relevant post-high school training, certification, or coursework related to law, compliance, risk, or insurance
  • Paralegal experience or experience as an administrative assistant in a legal environment or similar role.
  • Experience tracking time for billable hours.
  • Ability to Gatekeep, manage expectations, and prioritize effectively
  • Experience coordinating and/or managing projects, Legal Research, Internal Investigations, Compliance, and/or Insurance claims.
  • Experience with ISNet or Avetta.
  • Knowledge of legal terminology, processes, and procedures
  • Strong customer service orientation
Physical Requirements
  • Ability to remain sedentary for long periods.
  • Frequently required to sit, talk, hear, and see. Specific vision abilities required by this job include close vision and distance vision
  • Regularly required to move around the facility
  • Occasionally required to lift and/or move up to 40 pounds
