Summary:

This position reports to the Senior Operations Controller and manages five full-time and one part-time position. Handles and/or is in charge of all Accounts Receivable functions to include group billing, collection of monies owed, check issuance as detailed below, Governors Club statements, and other miscellaneous billings.

Expectations & Responsibilities:

• Group Contracts – Invoice contractual and 85% deposits related to contracted events.
• Group Billing – Billing coordinator for conference services. Manage and assist Group Billing Coordinator.
• Credit and Collections Duties – Manage Credit & Collections Manager. Assist with and review AR Aging Report.
• Check Processing – Responsible for monthly check runs for Villa Owners and for Travel Agents.
• Governors Club – Process monthly statements and assist with payment processing as needed. Manage Governors Club Billing Supervisor.
• Guest Billing – Manage Guest Billing Clerk. Assists with guest follow up as needed.
• Review – various reports to include AR Aging, Guest Ledger, Sales Contracts.
• Misc. Billing – as needed
• Source of Accounting Assistance – answer billing questions, assist with credit card retrieval, assist with miscellaneous postings as needed
• Ability to prioritize duties.
• Ability to correspond and communicate well with vendors and internal managers.
• Ability to work independently in a highly confidential and fast paced environment.
• Follow and support Resort Vision, Mission Statement and Core Values.
• All other duties, as assigned.

Qualifications:

• 4-year undergraduate degree in business or accounting field.
• 2-5 years (or more) related work experience with time spent having direct report(s).
• Strong financial competence, ability to work well under pressure and resolve problems/conflict in a tactful and professional manner.
• Ability to read, write and speak English in a clear manner.
• Microsoft Office, especially Excel.
• Visual One experience a plus.

Essential Physical Requirements:

• Ability to enter computer data and sit for the majority of the day.
• Some bending over/stooping required for filing, pulling invoices from cabinets or storage boxes.
