Summary: The Event Coordinator is responsible for the planning, organization of events, management of online communications platforms, social media management, and day-of direction for all community events and clubs. The Event Coordinator will report directly to the General Manager of the Audie Murphy Ranch Community Association and will serve as the main point of contact for homeowners, Board members, and vendors for all Association related activities, clubs, CSO special projects, and events. 

Full Time Flexible Hours:

Tuesday – Saturday 9:00am-3:30pm (30-minute minimum lunch break), total 30 hours per week.

This position will allow for a flexible work schedule occasionally up to 40 hours per week as deemed necessary by the General Manager for onsite event coordination.

Essential Job Duties and Responsibilities:

  • Administrative
    1. Onsite main point of contact for homeowners for community events and clubs during scheduled business hours.
    2. Telephone coverage, email responses, issue work orders, respond to customer service requests and the performance of administrative duties at the request of the General Manager as related to Association CSO matters.
    3. Create Association events and club flyers, send out weekly online communications, flyer posting at Ranch House & Plunge for monthly newsletters and events.
    4. Provide courteous customer service to all walk-in homeowners, phone calls, and email correspondence for CSO matters.
    5. Provide a monthly work order history log to the General Manager.
    6. Provide a monthly and annual event calendar update to the General Manager.
    7. Issue and maintain accurate record keeping for all electronic and physical files.
    8. Maintain a clean work environment and ensure cleanliness in the office.
    9. Submit a monthly supply order and maintain all club related and CSO purchases.
    10. Practice and adhere to Keystone’s Core Values, Mission, and Vision. 
    11. Creation of CSO Board packets.
    12. Creation of CSO Executive Board Meeting Minutes.
    13. Complete punch list items assigned by the General Manager.
    14. Any additional job duties as required by the General Manager. 
  • Community Events
    1. Plan, organize, and coordinate all monthly special community events and club meetings for the Association.
    2. Obtain proposals from vendors for community event services and present them to the CSO Board of Directors for approval.
    3. Serve as a staff liaison and provide administrative support to the General Manager and the Association Social Committee and club leaders.
    4. Prepare and present to the CSO Board of Directors written financial reports reflecting all Association CSO activities.
  • Recreation Facilities
    1. Maintain direct communication with all events related service providers.
    2. Attend and oversee all Community sponsored recreation and social events.
    3. Manage the activities calendar and schedule the use of the facilities to prevent scheduling conflicts.
    4. Follow approved priority use of facilities guidelines when scheduling CSO events.

Qualification Requirements:

  • Must have a valid CA Driver’s License.
  • Must be able to proficiently use Canva for graphic design for community event flyers.
  • Must be able to post to and manage the Association social media Instagram page.
  • Exceptional customer service skills.
  • Strong verbal and written communication skills.
  • Ability to effectively communicate.
  • Ability to multi-task and work under tight deadlines with a high level of accuracy.
  • Must be flexible with work schedule for evening and weekend hours as needed.
  • Demonstrate problem solving abilities and the ability to listen, understand, and follow directions and training for applicable job-related tasks.
  • Must be proficient in the following programs: Canva, Word, Outlook, Adobe Acrobat, and Excel.
  • Exhibit professionalism, professional attire, and demeanor at all times.
  • Demonstrate organizational skills and ability to independently prioritize daily workload.
  • Must work effectively with colleagues and clients.
  • Excellent interpersonal skills 
  • Ability to maintain a positive attitude.
  • Knowledge of applicable safety practices.

Education and/or Experience:

  • 3 years of experience working in a Customer Service or Hospitality role.
  • 2 or more years of experience working in a HOA, facilities, or event planning related role.
  • High School Diploma or GED.
  • Bachelor’s Degree desired.
