Event/Volunteer Coordinator (5-6 month Contract)

Job Location: Columbus, Ohio

The KBK Foundation is a non-profit organization that was founded with the mission of “Bridging Today’s Realities With Tomorrow’s Possibilities”. Our organization is the community supportive services partner of KBK Enterprises. The Foundation provides programs and services to all residential sites either owned or man-aged by KBK Enterprises. These programs provided by The KBK Foundation empower residents by assisting them to take significant strides toward self-sufficiency. The KBK Foundation was incorporated in April 2009 as an Ohio non-profit corporation for charitable purposes, as such term is defined for purposes of Section 501(c)3 of the Internal Revenue Code of 1986. The Foundation’s primary focuses are:

Community Development: The KBK Foundation believes in the process where community members, stake holders and those who have a vested interest collectively come together to take action and generate solutions to common problems. The Foundation partners with governments, nongovernmental organizations and community groups to assess and understand local needs and the reasons behind them. We work with our partners to devise programs that will help improve health, support education and create economic growth. Wherever our presence, we strive to be a good neighbor, sharing the concerns of our communities and dedicating our capabilities, resources and people to creating a better future.

The KBK Foundation fosters this goal by investing in programs that promote self-sufficiency, job growth and economic development. We start by assessing the local community needs, then take action to help remove barriers to economic growth. Art: As it relates to Black Art, we believe it tells our authentic narrative. Supporting Black Art and Black Artists will help to produce positive images of the Black community thus leading to the resistance of race-based negativity and biases.

Position Summary: The primary role of the Event & Volunteer Coordinator is to make our art fundraiser efficient, cost-effective, and memorable. The ideal candidate should possess the skills to assess and negotiate with vendors and donors, coordinate volunteers, oversee planning, and guide the planning committee. Additionally, they should manage communications effectively with artists, attendees, speakers, and client stakeholders. This person will spearhead the initiative to identify and select artists for the event, making it beneficial if they are actively involved in the art community. Above all, the event coordinator must be comfortable in a leadership role that demands a creative, business-driven mindset and lasting relationships with Artists, vendors, donors, and volunteers.

Working Relationships: The Event/Volunteer Coordinator will report to the Chief Administrative Officer.

  • Identify, confirm and collect deposits from 30 national and local black fine artists
  • Oversee the planning and execution of an art fundraiser
  • Uphold the foundation’s mission and vision with the event
  • Own every aspect of the event, from artist relations to success metrics
  • Keep budgets and timelines under control at all times
  • Coordinate and give guidance to volunteer teams
  • Develop an actionable plan for fundraising and managing cash flow
  • Comply with all national and local regulations
  • Develop a complete understanding of the requirements for the event
  • Research vendors and make selections based on their creativity, quality, and cost
  • Create communications for artists, manage marketing team, manage all events coordination, draft and finalize contracts, and lock down day-of logistics
  • Develop content for event materials and work with Marketing team
  • Hire personnel/ recruit volunteers as needed across all functions of an event (ex: registration, setup, catering, audio/visual)
  • Handle day-to-day administration of events and programs, including order placements, BEO reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution

  • Experience in event planning or event coordination in a non profit environment
  • Proven track record of creative, successful events
  • Experience working with colleagues in graphic design, sales, marketing, and communications
  • Excellent organizational, communication, negotiating, and multitasking skills
  • Ability to remain calm under pressure and maintain a customer-service mindset
  • Established relationships with vendors
  • Established relationships in the art community
  • Experience in managing budgets and tracking expenses
  • Advanced knowledge of PowerPoint, Acrobat, and Excel
