Due to our growth, Key Construction has a need for a Facility Service Manager in DFW.

The Facility Services Manager provides administrative support for facility management accounts. This role involves coordinating various administrative tasks, managing documentation, assisting with financial management, and ensuring smooth operations. The Facility Services Manager acts as a liaison between clients, facility management teams, and vendors, ensuring efficient communication and service delivery. This is an officed based position at our Fort Worth Office.

Key Responsibilities:

  • Assist in the preparation and management of facility-related documentation.
  • Maintain accurate records of facility management activities, contracts, and client communications.
  • Handle correspondence, scheduling, and meeting coordination.
  • Assist in the preparation and monitoring of budgets for facility accounts.
  • Process invoices, track expenses, and ensure timely payment of vendors.
  • Prepare financial reports and assist with financial audits as needed.
  • Serve as a point of contact for clients regarding administrative matters.
  • Ensure timely and accurate communication with clients.
  • Address client inquiries and escalate issues to appropriate team members.
  • Maintain relationships with vendors and service providers.
  • Coordinate service requests and ensure timely delivery of services.
  • Track vendor performance and manage vendor documentation.
  • Manage facility management software and databases.
  • Ensure data accuracy and integrity.
  • Generate reports and provide data analysis as required.
  • Ensure compliance with company policies and industry regulations.
  • Maintain and update health, safety, and environmental documentation.
  • Assist in the preparation of compliance reports and audits.
  • Coordinate with facility management and maintenance teams to ensure smooth operations.
  • Assist in the development and implementation of maintenance schedules and procedures.
  • Support the planning and execution of facility projects and renovations.
  • Provide excellent customer service to clients and internal teams.
  • Handle client feedback and work towards resolving any issues.
  • Conduct follow-up communications to ensure client satisfaction.
  • Share best practices and contribute to team improvements.

Skills:

  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite or facility management software.
  • Excellent communication and interpersonal skills.
  • Basic understanding of financial management and budgeting.
  • Attention to detail and accuracy.

Qualifications:

  • Associate or bachelor’s degree in business administration or a related field is helpful.
  • Minimum of 2-3 years in an administrative role, preferably in facility management or a similar industry.
  • Valid driver’s license.
  • Certification in Facility Management or Administration is a plus.
  • Ability to handle confidential information with discretion.
