Summary of Position
The Accounts Payable & Data Entry Specialist plays an integral role in the success of our team, our community and creating a place our residents are proud to call home. The primary purpose of this position is to provide timely and accurate data entry of vendor invoices by processing, verifying, and reconciling invoices, monitoring expenses, and keeping a record of it all for tax purposes.
Essential Job Functions
·Scan/email invoices into accounts payable system and confirm they are indexed accurately.
·While coding, check for accuracy of account & invoice numbers, vendor information and dollar amounts, and ensure there are no duplicates and multiple pages.
·Check for rejected invoices and modify appropriately.
·Assist Department Heads and Directors with AP issues.
·Check Statements for past due balances and research.
·Communicate with vendors on questions/issues.
·Reply to Corporate emails concerning modifications.
·Obtain W9's for new vendors.
·Check and mail special account paperwork to the Corporate office.
·Assist communities in review of vendor statements; research open invoices, credits, prior balances and late fees.
·Request copies from vendors for missing invoices and get approval from communities for said invoices.
·Assist with invoice research or account detail as requested.
·Perform other job-related duties as assigned.
Knowledge and Critical Skills
·Be able to make independent decisions and follow instructions.
·Deal tactfully with personnel, prospects, residents, family members, visitors, government agencies/personnel, and the public.
·Capable of working with ill, disabled, elderly, and emotionally upset people within the facility.
·Communicate effectively in a manner that is sufficient for effective communication with supervisors, team members, prospects, residents, and families.
·Knowledge/proficiency of Microsoft Office Suite.
Education and Experience
·Must meet all applicable state and federal requirements for this position.
·3 years related experience.
·Experience with multi-company accounts payable processing and 1099 reporting, preferred.
·Experience with Nexus Software.
·Experience with electronic invoice processing, preferred.
·Capable of performing the essential functions of the job with or without reasonable accommodations.
Supervisory Responsibility
This position does not have any direct reports or supervisory requirements.
Working Conditions and Physical Demands
Tasks assigned to this position may involve potential and/or direct exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals.
Physical Requirements - The Physical activities of this position involve:
·Prolonged periods of sitting at a desk and working on a computer & telephone
·Must be able to lift 15 pounds at times
·Alternating between standing and sitting
Cognitive Requirements - The Cognitive activities with or without prosthetics of this position are:
·Executes tasks independently
·Ability to express yourself clearly and effectively
·General computer literacy
Environmental Requirements - An individual in this position may be exposed to:
·Ambient room temperatures, lighting and traditional office equipment as found in a typical office environment
