Job Posting Title:
Registration Specialist
Job Description:
The Registration Specialist, under direction of the Registrar, is responsible for providing administrative support and operational functions related to the Records and Registration Department.
Education and Experience:
Bachelor's degree; a minimum of 2 years of experience in related registrar's office work and with student information systems (SIS).
Essential Functions and Responsibilities : Individuals must possess knowledge, skills and abilities to successfully perform the essential function of the position, or be able to explain or demonstrate how the essential functions may be performed, with or without, reasonable accommodations, using some other combination of skills and abilities.
Assists the Registrar with daily operations of the Registrar's Office, including but not limited to:
Provide front-line service to students, faculty, and staff;
Student registration;
Create and maintain student records, including but not limited to:
Process grades and grade changes;
Process academic petitions;
Process student transcripts, degree and enrollment verifications;
Process add/drops, Independent Study/Research, concentration change forms, and master thesis contracts;
Oversee record maintenance functions for all Office of the Registrar files, including imaged and archived files;
Track Leave of Absence, Withdraws, and Certificate-to-Master Program students and set up new profiles
Submit bi-monthly student enrollment reporting to NSC and update term reporting schedules
Provide data requests related to areas of purview
Manage FERPA compliance and training for KGI Campus (new hires and ongoing certification)
Create and maintain the catalog in the SIS;
Build annual program degree audits for graduating students;
Create commencement program profiles and verify all graduation requirements have been met
Build and track annual attrition reports with source data
Administer academic policies and procedures regarding student records;
Assist in developing and implementing short and long-range plans, conceptual designs, and documentation for assigned area(s);
Assist in evaluating office effectiveness of both automated and manual processes.
Process departmental invoices and reconcile Registrar credit card expenses
Other duties as related.
Required Knowledge, Skills and Abilities: Individuals must possess knowledge, skills and abilities to successfully perform the essential function of the position, or be able to explain or demonstrate how the essential functions may be performed, with or without, reasonable accommodations, using some other combination of skills and abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Must have a working knowledge of FERPA and privacy regulations.
Impeccable integrity, confidentiality, professionalism and ethical standards are a must.
Excellent interpersonal, organizational and analytical skills.
Demonstrated writing skills to independently compose letters, memos, and other written communication for a variety of audiences, using correct spelling and grammar, with an orientation towards customer service.
Demonstrated sensitivity to working with students, faculty, and staff from diverse backgrounds.
Pro-active, reliable approach to assigned responsibilities, with responsiveness to prioritize according to needs of the department.
Strong analytical skills to gather data, analyze information, and arrive at sound conclusions.
Ability to manage several projects and tasks simultaneously.
Problem solving and customer service skills.
Ability to quickly master new methodologies, technologies and systems.
Hours, Classification, and Status:
This is a regular, full-time, benefits-eligible, non-exempt position.
The regular hours of this position are Monday-Friday 8:00 am-5:00 pm. Hours may vary due to the needs of the College or department.
Salary range: $58,000-$62,000 annualized. The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.
Special Requirements:

Physical and Mental Requirements
Ability to maintain good concentration level while dealing with interruptions; attention to details with emphasis on accuracy; capable of giving, receiving, and analyzing information, formulating work plans, and articulating goals and action plans. Sitting in a normal seated position for extended periods of time. Standing for extended periods of time. Reaching and extending hand(s) or arm(s) in any direction. Finger dexterity required to manipulate objects with fingers rather than the whole hand(s), or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Ability to hear within normal parameters. Ability to bend and stoop, for example, to file. Ability to move about. Ability to lift and carry short distances up to 20 lbs., for example to lift or move office supplies, files, books and packages.
Ability to drive locally. Occasionally, will be required to stand for prolonged periods of time at activities/events on and off-campus.
