Position Summary:

This Executive Office Administrator position is located in Topeka, at the Eisenhower State Office Building, and is within the Office of the Secretary. This position reports to and directly works with the Secretary of Transportation, providing the support needs for the Deputy Secretary/STE, organizing and expediting communication and workflow through the department, and maintaining a follow-up system on pending matters.

Primary responsibilities for this position include general administrative and technical support for the Office of the Secretary, including researching and providing information to internal and external customers at the direction of the Secretary. The Executive Office Administrator also provides support functions such as scheduling and calendar management, coordinating complex executive meetings, maintaining a working knowledge of the executive duties, prioritizing, and managing multiple projects simultaneously and following through in a timely manner.

Job Responsibilities may include but are not limited to the following:

  • Managing the Office of the Secretary and Deputy Secretary/STE of Transportation through the use of managerial, administrative, and organizational skills as well as verbal and written communication skills.
  • Managing the support needs of the Office of the Secretary personnel, overseeing the daily operation of the Office of the Secretary through typical administrative duties, and assuring compliance with agency guidelines, policies, and procedures. This position serves as the liaison for the Office of the Secretary to the general public, the Governor’s Office, elected officials, and taxpayers.
  • Administering the Tracking Correspondence Information database for the department, including receiving, reviewing, and assigning correspondence requiring the official response of the Department.
  • Gathering data for the budget for the Office of the Secretary, overseeing the implementation of the budget by auditing monthly budget reports, and managing office purchase requests, the preparation of travel expense reimbursements, and payroll reporting.
  • Performing special projects and other duties as assigned by the Secretary and Deputy Secretary.

Minimum Qualifications:

  • Two years of experience in planning, organizing, and directing the work of a department, program or agency.
  • Education may be substituted for experience as determined relevant by the agency. Transcripts are required for education to be considered.
  • Valid Driver’s License at time of appointment.

Preferred Qualifications:

  • Experience exercising independent judgement in evaluating situations and making decisions.
  • Knowledge of principles and practices of office administration.
