POSITION TITLE: Project Coordinator

REPORTS TO: Executive/Creative Director

STATUS: Part-time (0.5 FTE) or Full-Time (1.0 FTE), Exempt

SALARY RANGE: $50,000 - $55,000/annual benefits

LOCATION: Remote, some on-site (hybrid)

THE ORGANIZATION

Kāhuli Leo Leʻa is a 501(c)(3) Native Hawaiian-managed and serving non-profit organization aimed at catalyzing aloha ʻāina through the education, composition, and presentation of mele and other cultural practices.

Kāhuli Leo Leʻa seeks a mission-driven and experienced Project Coordinator, skilled in successfully executing strategic plans, programs, and projects with other members of a high-performing and passionate team. Reporting to the Executive/Creative Director, the Project Coordinator will have high-level, project management experience that will be applied to KLL’s programmatic and administrative tasks.

This position requires a dynamic team member, who is passionate about facilitating, coordinating, and collaborating in hands-on programs and operations that are ultimately aligned with Kāhuli Leo Leʻa’s mission.

JOB SUMMARY

Project Coordinator (“PC”) provides programmatic and administrative support in the cultural community and creative industry. Programmatic tasks will include assisting in the production and distribution of creative/educational content, supporting the coordination of program participants, and other programs aligned with KLL’s mission. The PC will also be responsible for supporting the administrative operations of KLL, including the coordination of tasks in support of the finances, budgeting, and human resources activities. The PC will collaborate with staff, contractors, and volunteers to support the work of an effective and efficient team. With comprehensive knowledge of these functions and how they operate within the Kāhuli Leo Leʻa ecosystem, the PC is a critical member of the KLL team and helps guide the organization through the coordination and management of projects and tasks related to the growth of KLL’s strategic work.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Project management, coordination of, and liaising between, KLL staff, partners, contractors, volunteers, and other relevant personnel to achieve the highest level of efficiency in KLL’s collaborative work.
  • Facilitate the planning, scheduling, and execution of the organization’s operations and programs, while ensuring the organization’s compliance with KLL policies.
  • Foster a collaborative work environment by maintaining the scheduling of team members, progress tracking, and deadlines.
  • Some travel is necessary.

Programmatic:

  • Support KLL staff and other designated partners for all programmatic and administrative tasks, including but not limited to, scheduling meetings, maintaining project timelines and deadlines, and facilitating efficient communication by phone, email, meeting (in-person or virtual) or otherwise.
  • Support monitoring of project progress and provide regular updates to KLL leadership, staff, and appropriate external personnel.
  • Manage project documents such as project plans, budget, schedule, etc. in collaboration with KLL leadership, staff, and other appropriate personnel.
  • Support the production of creative content, including but not limited to, engaging and scheduling with talent/cultural practitioners, assistance during on-site and in-studio video/audio production,
  • Responsible for uploading all media materials on KLL websites and social media, and monitoring the social media/online interaction and feedback, proofreading and quality control of all publications of KLL materials, and other production-related tasks as assigned.
  • Experience working with Hawaiian cultural practitioners and Hawaiian community members.
  • Other duties as assigned.

Administrative:

  • Execute administrative tasks, including but not limited to supporting project implementation, project management, and internal operations.
  • Oversee all project coordination and administrative functions - tasks, activities, partners, schedule, etc.
  • Provide accurate and timely communication to the administration.
  • Other duties as assigned.

EDUCATION, EXPERIENCE, SKILLS

  • Bachelor’s Degree or equivalent education and/or experience.
  • 5 years of relevant experience in project management, scheduling, and administrative support.
  • Fluency in Hawaiian/Indigenous culture and language. Ability to work effectively with Hawaiian/Indigenous Peoples and communities.
  • Skills in operations, project coordination, book-keeping/basic finances, project and grants management.
  • Experience in creative media management on social media platforms, websites, and other multi-media platforms.
  • Excellent organizational skills with attention to detail and the ability to meet deadlines and objectives.
  • Strength in collaboration as part of a team to move projects forward in a fast-paced environment. Outstanding partnership development skills.
  • Strategic thinking, able to conceptualize, lead, and execute complex projects and effectively convey their impact to various audiences.
  • Strong writing skills and experience in communications projects.
  • Advanced computer skills, especially Google Suite, Microsoft Office, financial software, Internet, email, etc.
