Janssen Global Commercial Strategy Organization is recruiting for an Executive Administrative Assistant based in Spring House, PA or Titusville, NJ. This position may require 10% travel to other J&J Sites (New Brunswick, Titusville).

Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.

The Executive Assistant will provide senior level executive administrative support to the Worldwide Vice President (VP), Immunology, within the Business Development Organization, Janssen Global Services, LLC. This individual will establish and maintain the administrative systems, and manage day-to-day administrative tasks required to support the effectiveness and efficiency of this VP Executive. This role also provide administrative support for the Immunology BD team.

Specific day-to-day responsibilities include:

The Executive Administrative Assistant will be responsible for actively managing the VP’s calendar, including all aspects associated with scheduling and planning meetings, the management of all related logistics (including scheduling and initiation of in-person meeting, zooms/video conferences, and hybrid interactions. This individual will also arrange and help manage logistics for BD IMM team meetings, help manage group meetings both in the US and outside the US (across multiple time zones), as well as related collection, organization, and dissemination, of meeting documents. The ideal candidate should be comfortable in working with technology and learning new technology features to facilitate meetings. This individual will partner closely with the Executive Administrative Assistant the Immunology R&D TA Head in supporting TA Leadership team and Immunology Portfolio Committee calendars, as well as team assistants in the Immunology Therapeutic Area.

This EA should demonstrate the discretion and experience in handling confidential and sensitive information, as well as the judgement to proactively support the executive in calendar management and prioritization, helping find ways to preserve and focus calendar time on the VPs highest impact priorities for the team and enterprise. The Executive Assistant will also manage the VP’s travel, including international and domestic travel for both internal (J&J), and external (business-partner-facing) meetings, including at times highly confidential meetings with executives from across the industry. This individual should demonstrate strong problem-solving skills in managing complex travel logistics. Strong candidates should exhibit high learning agility and ability to anticipate and proactively address scheduling, calendar, meeting, and logistics need in a dynamic, fast-paced, exciting team environment where multiple competing demands are the norm.

This individual will be accountable for file and document file keeping, including proactively organizing and maintaining both hard copy and electronic files, including Sharepoint and “e-rooms”. The Executive Assistant will also be responsible for correspondence, reports, and presentations: This individual should have strong MS Word/word processing, PowerPoint, and Excel skills, as well as the willingness and capability to learn newer communication technologies. This individual will also be responsible for the preparation of expense reports, correspondence, memos, and related communications, including executive presentation documents. The ideal candidate will enjoy being an integral part of a team bringing transformational medical innovation to patients worldwide, including the dynamic and engaging environment.

This role will require the Executive Assistant to be responsible for managing highly confidential matters with discretion and judgment and work under minimal supervision. This role will regularly interface with J&J colleagues and executives/their EAs in Springhouse, PA, New Brunswick, NJ, Titusville, NJ, and Johnson & Johnson locations around the world. This person must maintain a highly professional and efficient office environment, and support team connectivity and collaboration with colleagues working remotely or across locations.

Qualifications

  • A minimum of a High School diploma; Associates or Bachelor Degree preferred.
  • At least 8 years of administrative or related experience is required.
  • Experience in an executive environment, supporting leaders and executives, is required.
  • Experience in systems is required to effectively handle PDM, Ariba, Sharepoint and OurSource processes, or analogous systems (for external candidates).
  • Experience with making international and domestic travel arrangements, and coordinating on/offsite meetings (including LiveMeeting, TC and VC) are required
  • Excellent verbal and written communication skills, as well as facility with PowerPoint, are required to properly draft and edit memorandums, correspondence and presentations and interface with senior leaders.
  • This position requires very strong organizational skills, exemplary customer service skills, ability to handle multiple tasks and priorities simultaneously, the ability to work well under time pressure, and the ability to work with independence and minimal supervision.
  • This position requires a demonstrated team player.
  • Must demonstrate excellent judgment and the ability to anticipate and solve problems proactively. S/He must present her/himself in a professional manner at all times; be detail-oriented, thorough and accurate and well organized.

The base pay range for this position is $59,850 to $96,600.

  • Vacation – up to 120 hours per calendar year
  • Sick time - up to 40 hours per calendar year; for employees who reside in the State of Washington – up to 56 hours per calendar year
  • Holiday pay, including Floating Holidays – up to 13 days per calendar year
  • Work, Personal and Family Time - up to 40 hours per calendar year
