Job overview:
We are seeking a highly organized and detail-oriented individual to join our neurology practice as Front Desk Coordinator. As the initial contact, you will play an important role in providing excellent service to our patients and ensuring the smooth operation of our practice.
Minimum Qualifications:
Minimum Education: Diploma/Certificate/GED
Minimum Years of Experience: At least three years of receptionist experience in a medical field preferred
Training and experience with EPIC electronic medical software preferred

Greenspring Station, Pavilion II; 10753 Falls Road, Suite 345, Lutherville, MD 21093
Hours: Full time: Monday through Friday, 8:30am – 5:00 pm
(Optional part-time Monday hours: 37–40 hours per week)
Job Duties:
Appointment scheduling:
Answers phone calls
Confirms the diagnosis/symptom is appropriate for the neurologist and is not due to an accident or work related injury
Confirms health insurance plan is accepted by JHRP
Schedules new patient, follow up patient and EMG appointments using EPIC Book It and
EPIC Registration Navigators software.
Acquires or confirms patient demographics. Reviews appointment details with the patient: appointment date, arrival time, directions, parking, my chart account access and communication, etc.
Sends out appropriate registration paperwork by mail or refers patient to Dr. Rabin’s website to download and complete forms prior to first appointment
Coordinates with patient and/or referring physician to send all relevant medical records in advance of appointment. Scans records into EPIC prior to the appointment.
Contacts by phone patients who have not confirmed their appointments two days prior to their appointment date.
Check in and check out responsibilities:
Prior to appointment, obtain insurance referrals, if required
Confirms patient’s birthdate and address
Completes travel/infectious disease screening questions
Completes any outstanding registration questions
Completes MSPQ for Medicare, if applicable
Verifies RTE insurance eligibility
Collects and scans patient’s photo ID and insurance cards
Obtains patient signature for Outpatient Agreement form
Obtains referrals, if required by insurance plans. Scans into EPIC media
Collects copays and posts patient payments (e-check or credit card)
Schedules follow up visit
Faxes any referrals to facilities with necessary records
Phone responsibilities:
Answers incoming calls
Routinely checks voice mail and returns calls promptly
Documents inbound/outbound phone messages between patients and Dr. Rabin
Medical records release
Sends medical records to requestors, such as attorneys and insurance companies, using the HIM/ROI protocol on EPIC.
Submits invoice to requestor and records payments in EPIC.
Prescriptions
Sends prescription renewal requests to Dr. Rabin
Assists with insurance prior authorizations for non-formulary medications
Other responsibilities:
Sorts and scans faxes
Sorts mail
Reconciles credit card machine at the end of the business day
Generates daily payment journal at the end of the day and submits the form to Office Manager
Faxes, mails or electronically transmits reports to referring physicians
Returns completed and signed forms requested by patient such as disability, family medical leave, workers compensation, medical assistance application, MVA, etc. Scans all completed forms into EPIC.
Various other office related duties as necessary
