As we expand our operations, we are seeking a highly detail-oriented and responsible professional to support our team as an Administrative Support Specialist with Accounting Experience.

GENERAL DESCRIPTION:

The ideal candidate will have a strong background in administrative support tasks coupled with a solid understanding of accounting principles and practices. Knowledge of job cost accounting is a plus. The primary responsibility of this role will be to provide comprehensive administrative assistance while also supporting accounting functions within the organization with a focus on Accounts Receivable.

DUTIES:

  • Perform general administrative duties such as answering phones, managing correspondence and general office support.
  • Assist with accounting tasks including accounts receivable, invoicing, and other accounting functions as assigned.
  • Maintain accurate and up-to-date records of financial transactions.
  • Reconcile financial discrepancies by collecting and analyzing account information.
  • Assist with payroll processing and related documentation.
  • Support contract management activities, including document preparation and record-keeping.
  • Utilize MS Office products and technology programs proficiently to streamline administrative and accounting tasks.
  • Provide administrative support for special projects and initiatives as assigned.
  • Stay current with industry trends and best practices related to administrative and accounting functions.
  • Collaborate with team members to identify areas for process improvement and implement solutions.
  • Maintain confidentiality and integrity in handling sensitive financial information.

MINIMUM REQUIREMENTS:

  • 5 years of experience in Accounting, Finance, Business Administration, or related field preferred. Construction industry experience is a plus.
  • Proven experience in administrative support roles with a focus on accounting functions.
  • Highly detail-oriented with excellent organizational skills.
  • Strong proficiency in MS Office products (Word, Excel, PowerPoint, Outlook) and technology programs, especially ERP systems.
  • Strong attention to detail and accuracy in financial record-keeping.
  • Excellent communication and interpersonal skills.
  • Knowledge of accounting principles and practices.
  • Experience with financial software and tools.
  • Ability to work independently with minimal supervision.
  • Problem-solving skills and a proactive approach to resolving issues.
  • Adaptability and willingness to learn new skills as needed.
