Job Summary:

We seek a dynamic and organized Administrative Assistant to support our organization's Human Resources and Accounting functions. Reporting directly to the Office Manager, the ideal candidate will possess strong administrative skills, attention to detail, and a commitment to maintaining confidentiality. This role is crucial in ensuring the efficient operation of our HR and Accounting departments, contributing to the overall success of our organization.

Responsibilities:

Human Resources:

  1. Assist in recruitment by posting job openings, screening resumes, and scheduling interviews.
  2. Maintain accurate and up-to-date employee records, including personal information, attendance, and performance evaluations.
  3. Coordinate employee onboarding activities, including new hire orientation and paperwork processing.
  4. Assist in administering employee benefits programs and handling employee inquiries regarding benefits and policies.
  5. Support HR initiatives such as training programs, performance evaluations, and employee engagement activities.
  6. Ensure compliance with federal, state, and local employment laws and regulations.
  7. Handle confidential HR-related matters with discretion and professionalism.

Accounting:

  1. Assist with accounts payable and accounts receivable tasks, including invoice processing and payment tracking.
  2. Reconcile financial statements and assist in preparing financial reports for management review.
  3. Maintain accurate financial records and documentation in accordance with accounting principles.
  4. Assist in budget preparation and expense tracking, ensuring adherence to budgetary guidelines.
  5. Support audit and tax preparation processes by providing relevant documentation and assistance as needed.
  6. Collaborate with the Office Manager and Accounting team to resolve any discrepancies or issues in financial records.
  7. Ensure compliance with accounting policies and procedures.

General Administrative Support:

  1. Provide general administrative support to the Office Manager and other team members as needed.
  2. Answer phone calls, respond to inquiries, and direct visitors as appropriate.
  3. Assist in organizing meetings, events, and training sessions.
  4. Maintain cleanliness and organization of office space.

Requirements:

  1. Proven experience as an Administrative Assistant, preferably in HR and/or Accounting roles.
  2. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with HRIS and accounting software.
  3. Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
  4. Strong attention to detail and accuracy in work.
  5. Excellent communication and interpersonal skills.
  6. Ability to maintain confidentiality and handle sensitive information with discretion.
  7. A bachelor's degree in business administration, Human Resources, Accounting, or a related field is preferred but not required.
