Jewish Family Services of Washtenaw County is Hiring an Office Manager and Transportation Scheduler Near Toledo, OH

PURPOSE/SCOPE OF RESPONSIBILITY

Assists and enhances staff effectiveness by providing clerical and operational assistance as needed. Supports any and all agency operations. Creates and maintains transportation/donation pick up schedules while coordinating with drivers and transportation clients on a day-to-day basis.

ESSENTIAL DUTIES, RESPONSIBILITIES, & COMPETENCIES

  • Responsible for creating and maintaining a transportation schedule by processing and maintaining records of client, staff and donor requests and assigning daily schedules to drivers.
  • Ensures safe operation of vehicles by supervising vehicle maintenance schedule and reporting any technical problem immediately.
  • Responsible for reviewing and approving petty cash and credit card requests for all programs and ensuring that all financial support requests are completed and turned in timely.
  • Uses time effectively by scheduling requests in a punctual manner and by responding appropriately and quickly to calls from the drivers, clients and donors.
  • Provides receptionist tasks by welcoming clients and answering telephones, recording and retrieving messages to distribute to appropriate staff.
  • Maintains office operations by monitoring, distributing and ordering office supply inventory and by reporting any problems to management. Also, logs any donations received.
  • Processes and updates information by copying, retrieving and transmitting documents as required.
  • Assists in maintaining and updating the agency database and archival collection.
  • Maintains client confidence and protects operations by keeping information confidential.
  • Assists and supports the entire staff in any tasks needed to ensure smooth operations of the agency.

  • Meets client’s needs by participating in the planning for necessary services in the agency.
  • Supports agency operations by appropriately representing the agency in all forums and by demonstrating commitment to agency philosophy, mission, goals, policies and procedures.
  • Contributes to effective use of agency resources by identifying and implementing options for cost containment.
  • Uses time effectively by appropriately planning, organizing and scheduling required work hours to meet agency needs.
  • Demonstrates effective judgment by making appropriate decisions, as well as conducting and maintaining a professional manner and appearance at all times.
  • Maintains a safe and clean working environment by complying with health and safety guidelines.
  • Displays flexibility by accepting and adapting to unexpected changes in a courteous and professional manner.

  • Associate's degree required.
  • Must have working knowledge of Microsoft Word, Excel, Outlook, Photoshop, Acrobat, and databases.

  • Excellent oral and written communication skills.
  • Ability to work well with a diverse population of clients.
