- Monday – Friday: 8:00 a.m. - 5:00 p.m.
- On call or evening/weekend/holiday hours may be required for various incidents, events, and initiatives.
- Tracking, managing, and overseeing the purchasing, billing, and reconciliation of aviation fuel for managed aircraft.
- Approving fuel transaction in our expense management platform
- Coordinating and communicating details of fuel transactions with internal stakeholders
- Upload and reconcile transactions for third party fuel vendors (i.e., World Fuel and EPIC)
- Serve as primary contact for Fuel vendors and oversee the updating of contracts and pricing agreements.
- May be primarily responsible for or serve as a backup for a variety of financial transactions, including but not limited to: Accounts Payable, Accounts Receivable, Fuel Purchases, Credit Card Reconciliation, and Payroll.
- Maintaining accurate and complete records, including ledgers, journals, invoices, receipts, and information related to supplies and inventory.
- Assisting the accounting department in daily, monthly, and annual activities, including balance sheet account reconciliations, cash applications, generating monthly owner statements, and generating corporate financial reports.
- Speaking with vendors and customers to ensure charges are accurate and that payments are issued and received in a timely manner.
- Communicating with clients to discuss account statuses, charges, or discrepancies.
- Preparing journal entries, analysis, and assisting with monthly close process.
- Reconcile biweekly payroll and create all journal entries needed to post to the general ledger.
- Enter all trip packets into NetSuite.
- Other duties as assigned.
- Bachelor’s degree in Accounting, Finance, or related field or equivalent experience
- 2 years’ experience in accounting related role.
- Exceptional time management, communication, and problem-solving skills.
- Strong math, analysis, and research skills.
- Basic computer skills with knowledge of QuickBooks, Microsoft Excel, and others
- Organized and detail oriented.
- Ability to analyze data accurately and efficiently.
- Experience in 135 Charter aviation, or travel services strongly preferred.
- Strong written and verbal communication skills with excellent ability to understand and translate customer requirements and interact and cooperate with company employees in all departments.
- Creative strategic thinker able to meaningfully contribute to the development of the company’s short and long-term strategy.
