Definition and Basic Function: The Residential House Manager is responsible for overseeing the management and supervision of all aspects of the residential home as well as supervision of the DSP’s. Participate in at least twenty-four hours of training annually as required by the regulations (two hours per month).
Essential Responsibilities:
1. Prepare for and attend ISP and quarterly meetings
2. Provide input into the quarterly ISP reviews, annual assessments, goal plans, and other required forms within the correct time frame in cooperation with the Residential Program Specialist.
3. Ensure implementation of ISP and outcomes through a weekly review of goals and activities.
4. Communicate progress and concerns of the individuals to the Residential Program Specialist.
5. Ensure correct documentation for all individuals in the daily binders, behavior plans, and other forms on a weekly review. Preserve documentation based on organizational protocols.
6. Handle emergencies based on organizational protocols.
7. Complete monthly fire drills and required documentation.
8. Monitor and work to lessen therapeutic leave days of the individuals.
9. Create, coordinate, and maintain staff schedules in Google.
10. Oversee monthly activity calendars, community outing plans, medication administration records, petty cash and individual lockbox records.
11. Responsible for reviewing, maintaining and updating of the individual's personal records and information (including emergency / health / medical / safety / financial information, etc.).
12. Be present and participate in any meetings, supervision and trainings as required when collaborating with members of the ISP team.
13. Manage and develop programmatic services appropriate to assist in the achievement of an individual’s identified outcomes/goals.
14. Communicate with direct supervisor, staff, and families concerning the needs of individuals.
1. Ensure that individuals have adequate supplies of clothing and personal items and all personal items are logged.
2. Coordinate menu development and grocery shopping
3. Coordinate and complete housekeeping assignments, ordering supplies, and shopping for household supplies in conjunction with staff.
4. Ensure the general household maintenance and upkeep.
5. Ensure receipts are turned in on time following the accounting department schedule.
6. Maintain general upkeep of company vehicles.
1. Ensure all medical appointments are scheduled in a timely manner.
2. Complete required paperwork and file within 24 hours after the appointment.
3. Report medical observations and concerns to designated agency personnel.
4. Document seizures, incidents, etc. on appropriate forms.
5. Reorder medications as needed.
6. Ensure staff are trained on how to prepare medications for therapeutic leave.
7. Ensure the individuals’ physicals and immunizations are completed annually.
8. Review MARS weekly to ensure documentation is being done correctly.
1. Provide initial orientation, ISP training and ongoing supervision for Direct Support Professionals.
2. Complete in a timely manner the New Hire Orientation Packet
3. Schedule monthly house meetings
4. Report staffing issues/concerns to the Director of Residential Programs.
5. Assure that direct care staff receive and maintain required training, certifications and other employment requirements and that they complete their required 24 hours of training each year (helpful to work on 2 hours a month).
6. Encourage staff to create meaningful community activities.
7. Develop and complete monthly scheduling in by the 15th of each month.
8. Meet annually with each employee to review the status of their performance
9. Monitor and complete all time, attendance and scheduling related duties in the HRIS system.
10. Ensure compliance with regulations, policies and procedures.
11. Work with the Director of Finance to create, implement, and monitor revenue and expenses in the house budget.
12. All other duties as assigned.
Work Schedule: The House Manager is scheduled for 40 hours per week but may involve 45 - 55 hours a week on a regular basis and as required for operational effectiveness. This position requires administrative responsibilities, as well as, direct care shifts and occasional overnight duties as needed. It is expected that this position works on short notice in the event of an emergency.
Job Requirements: Must be at least 18 years of age with a high school diploma or GED. Must also have a valid driver’s license. Must have at least two years of driving experience to transport individuals to and from activities, appointments, and workshops, using Jessica & Friends Community vehicles. Must submit to a criminal background check, a driver’s record check, an initial physical, and a substance screening. Additionally, at least 3 years’ experience in human services (IDD) is required and a minimum of 1-year experience with supervision of staff is required.At least two years of human services experience can be substituted for the high school diploma or GED. This is a safety sensitive position.
