Position Summary

The Office Administrator is the first point of contact for the office. Essential duties range from stocking and cleaning the office to vendor relations and contract management.

The Office Administrator manages all front desk operations, office supplies, shipping and receiving, office badge system, and answering main telephone line.

Essential Tasks

  • Serves as main point of contact for the office. Answers main telephone line and direct calls appropriately. Greets and direct visitors.
  • Facility Management :
  • Inventory control : Orders and stocks office supplies, food, drink, etc.
  • Security management : Maintains employee security badges and passcodes, emergency planning and visitor permits.
  • General upkeep : Contacts appropriate parties for building repair and keeps landlord informed of building issues. Cleans office and keep items stocked.
  • Maintains relationships with office vendors & manages vendor contracts.
  • Serves as main point of contact for property management company.
  • Manage parking lot
  • Responsible for incoming / outgoing office mail and all shipping & receiving on a daily basis.
  • Provides client and employee support and excellent customer service.
  • Assists with office’s space / infrastructure planning (moves, adds, and changes to workstations).
  • Helps manage office budget and has purchasing authority with prior approval. Submits invoices and verifies payments.
  • Serves on the social committee and helps manage its budget. Organizes catered lunches for onsite visitors.
  • Assists IT with shipping, returns, and other miscellaneous tasks.
  • Produces license keys for clients in conjunction with Product Development (coding experience is not necessary).

Preferred Skills and Experience

  • Prior experience in an administrative role required (internship or college work applicable).
  • Prior receptionist experience helpful.
  • Must be customer-service oriented and able to multi-task in a fast-paced environment.
  • Positive, friendly, and resourceful demeanor required.
  • Working knowledge of MS Office applications required.
  • Preferred experience with multiline VOIP phone system.
  • This is a part-time (25 hours / week, 5 hours / day) role. The pay rate range for this position is $15 to $18.50 an hour;

however, base pay rate offered may vary depending on job-related knowledge, geographic location, skills, and experience.
