JOB OVERVIEW:

To promote the sale of the hotel’s facilities, by generating group business from all market segments. This position is responsible for prospecting, sales calls, selling, negotiations, closing sales, servicing the group, and meeting specified budgetary goals set in place each year. Understand the product, the sales market, and the market needs. Know how to make a profitable sales call, how to negotiate, how to overcome objections, and how to service a sale. 

ESSENTIAL JOB FUNCTIONS

  • Establish contacts with individuals, companies, associations, etc., who have never used the hotel to promote the use of the hotel’s facilities through telephone contact and direct sales solicitation, trade shows, or other methods.
  • Establish contacts with former accounts with a view to regaining their room and banquet business, if applicable. Maintain continuous rapport between hotel and clients by maintaining trace and follow-up systems.
  • Site Inspections. These calls are scheduled appointments and the majority prearranged by prospective clients. Set-up site inspections and enthusiastically sell the hotel, including all food outlets, recreation and activities available in the area.
  • Weekly, quarterly and other required meetings with Director of Sales and Marketing to review Group Rooms Control Log and discuss sales opportunities.
  • Schedule pre-planned sales calls to targeted feeder markets to generate potential business.
  • Responsible for complete booking of a function.
  • Sales leads from the CVB, meeting reps, and other sources are followed up for new business. Establish good business relationship with outside representation firms.
  • Responsible for attending meeting and functions sponsored by the various organizations which sales managers are members.
  • Entertain clients when necessary for the purpose of familiarizing them with our property and closing the potential booking.
  • Attend trade shows pertinent to assigned area. Attend all meetings, seminars and functions in order to meet more planners.
  • Maintain a working relationship with other departments on property that interact with groups to better serve the client.
  • Prepare BEO’s and Resumes for events.
  • Suggestively sell menus which meet the client's needs and maximize revenues.
  • Meet with the Food & Beverage Director/Executive Chef to plan special requests for clients and special event menus. Arrange introductions between the client and Chef.
  • Check function room set ups prior to guest arrival, ensuring all details agree with client's requirements and hotel standards. Ensure deficiencies are corrected by respective personnel.
  • Assist in supervising the service of functions, ensuring guest satisfaction.
  • Monitor, handle and process all billing/payment procedures according to accounting standards.
  • Attend designated meetings, menu and wine tastings.
