JAS Group Enterprise, Inc. is Hiring an Office Administrative Assistant Near Princeton, NJ

Position Title: Office/ Administrative Assistant – Part Time (24 Hours - 9-5 or 8-4, 3 days per week)

Role Summary / Purpose

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in supporting the smooth operation of our office. Candidates should be able to assist senior management and all office site visitors to the company by handling office tasks (file management, mail management, general office), providing polite and professional assistance via phone, mail, and e-mail, managing calendars, and generally being a helpful and positive presence in the workplace.

This role favors candidates that are professional, polite, and attentive while also being accurate. They should always be prepared and responsive, willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks, and excel at both verbal and written communication. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others.

Successful candidates will meet all the basic requirements of this job posting and several of the desire characteristics, as well as have a strong sense of accountability, be detail oriented, and have an outgoing and pleasant personality.

Starting as Part-time but with chances to be full time in the near future if required.

Essential Responsibilities:

  • Handling general office tasks: filing, generating reports, answering phones, greeting visitors, calendar management (booking and conflict resolution), supplies procurement.
  • Assist with the management of invoices: collection, scanning, and organizing. Assist with office management tasks such as ordering supplies, maintaining records, and managing office equipment.
  • Use Microsoft Suite and QuickBooks to generate reports, transcribe minutes from meetings, and create presentations as needed.
  • Maintain accurate and up-to-date records and files.
  • Customer Service: Greet and assist visitors, maintain polite and professional communication via phone, e-mail, and mail, screening phone calls and routing callers to the appropriate party.
  • Anticipate the needs of others in order to ensure their seamless and positive experience. Assist with customer service tasks such as responding to inquiries and resolving issues in a professional manner
  • Collaborates with all departments to facilitate best outcomes for client/customers.
  • Performs other related duties as required.

Qualifications/ Requirements:

  • High School Graduate or GED equivalent with 10 years’ experience OR Associate's degree from an accredited secondary school
  • 5 years’ of prior administrative experience.
  • Must be fluent in English and Spanish and willing to provide translation services Spanish <> English for team members
  • Ability to work in the Princeton office no less than 3 days per week
  • Prior experience using QuickBooks and Microsoft Office Suite are a must
  • Prior experience working for a Construction Company
  • Prior experience processing certified and/or prevailing wage payroll.
  • Prior experience creating AIA's and payment waivers

The required location for this onsite role is in our Princeton office.
