IVCi is Hiring a Sales Administrator Near Hauppauge, NY

The primary focus of the Sales Admin is to provide strategic administrative support to the IVCi Sales team.


Job Duties:

  • Responsible for aiding the Sales Team with general sales support activities and administrative functions
  • Provide administrative support of sales in coordination with operations, services, procurement and finance
  • Support the creation of sales material that aids in customer presentations, proposal generation and other necessary sales support activities.
  • Maintain client references/profiles to be included in client facing presentation.
  • Proposal generation assistance.
  • Identify and recommend Sales Process Improvements for standardization and continuity to be reviewed, documented, and approved by Sales Management.
  • Assist Sales Management with priority projects as needed.
  • Support Sales team with customer engagements when necessary.
  • Sales Force CRM Software administration for customer data and Enterprise/Key Account Manager customer assignments as well as other Salesforce initiatives and activities as required and assigned.
  • Provide sale support for sales team when engaging with State/Local Government and Education (SLED) contracts
  • Utilize database to identify and respond to bid opportunities.
  • Assist in the delivery of complete, accurate, and timely bid responses by supporting all bid response efforts.
  • Develop and maintain bid response documentation.
  • Assist with necessary contract documents, such as W9 forms and Certificates of Insurance
  • Maintain and update contractor qualifications in building connected and other platforms.

Required Qualifications:

  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • Ability to work on-site 5 days a week in Hauppauge, NY.
  • Results driven with exceptional follow through.
  • Experience working with SalesForce
  • Must be proficient in Microsoft Software: PowerPoint, Word, Excel, and Outlook. Position will be heavy on excel.
  • Minimum three years in administrative/office support.

  • Must be able to multitask and work at a fast pace.
  • Must be flexible and professional at all times even under pressure
  • Experience with Webex, Zoom, Teams and other conferencing applications.
  • Effective time management and organizational skills; able to balance multiple priorities.
