This position provides support for two separate but collaborative aspects of supporting Student Equity & Belonging at Ithaca College. This position provides administrative support for the Student Equity, Inclusion, and Belonging unit, with operational and programmatic support for the Center for Inclusion, Diversity, Equity and Social Change (IDEAS). Administrative support for Student Equity, Inclusion and Belonging (Executive Director, Office of Religious and Spiritual Life, First Gen Center, MLK Scholars Program, IDEAS, and LGBT Center) includes: scheduling appointments, arranging meetings, preparing and managing the department's operational budgets, maintaining files, and processing a variety of College procedural and operational forms.

Job Summary:
This position provides support for two separate but collaborative aspects of supporting Student Equity & Belonging at Ithaca College. This position provides administrative support for the Student Equity, Inclusion, and Belonging unit, with operational and programmatic support for the Center for Inclusion, Diversity, Equity and Social Change (IDEAS). Administrative support for Student Equity, Inclusion and Belonging (Executive Director, Office of Religious and Spiritual Life, First Gen Center, MLK Scholars Program, IDEAS, and LGBT Center) includes: scheduling appointments, arranging meetings, preparing and managing the department's operational budgets, maintaining files, and processing a variety of College procedural and operational forms. As Program Coordinator in IDEAS, assists in guiding programming and services that serve the mission of the office which may include: primary point of contact for the Center, supervising student staff, preparing communications, supporting office programmatic initiatives, and maintaining social media platforms (Facebook, LinkedIn, Instagram, etc).

Supervision:
This position receives day-to-day guidance, direction, and reports to the Director of the Center for Inclusion, Diversity, Equity and Social Change (IDEAS). This position supervises up to five student employees in the Center for IDEAS.

Position/Job Responsibilities:

50% Administrative Support for Student Equity & Belonging Unit

  • Perform administrative and logistical duties in support of the offices under the umbrella of Student Equity, Inclusion & Belonging, and other designated personnel. Provide administrative and operational assistance to the unit.
  • Serve as a liaison and resource to provide information in the resolution of routine concerns; refer unusual matters to appropriate personnel.
  • Provide assistance in developing and maintaining yearly departmental budgets, participate in budget proposal preparation and financial statements, execute purchase orders, vendor requests, pay invoices, process budget transfers, and maintain a wide variety of College operational forms.
  • Oversee, maintain, and update the IC institutional DEIB webpage.
  • Coordinate room reservations. Coordinate the travel arrangements and accommodations for various programs, guest lectures and program presenters. Make arrangements for facility and equipment use as necessary.
  • Conduct research projects utilizing the web and other applicable resources. Compile information and prepare regular or special reports on departmental, committee or other activities. Participate in special projects as assigned. Assist in ensuring confidentiality and security of office facilities, equipment, and records.
  • Schedule and attend staff meetings. Order and renew departmental subscriptions and publications, order and maintain office supplies and receive, process, and dispatch work order requests.

50% Program Support for Center for IDEAS

  • Serve as point of contact for visitors and communication intake processes. Engage with students, staff, and visitors by providing support for and information about the Center. Record messages for office staff and communicate messages in a timely manner. Serve as a resource and liaison for students and campus partners for all IDEAS related programming and events. Manage the department's email account and respond to all inquiries in a timely manner.
  • Manage all general office procedures: process a variety of college procedural and operational forms; proof read and revise documents; attend staff meetings, record minutes, and share minutes with office staff; schedule meetings with Outlook calendar, maintain pro-staff calendars and the departmental calendar; update departmental events calendar; initiate requests for routine office maintenance and equipment repair; order office supplies in IC Marketplace or other web platforms;
  • Hire, train, schedule and supervise student employees for the IDEAS Peer Educators (IPE) program. Monitor student-staff during desk and project hours, coordinate schedule of weekly desk coverage of the Center, delegate appropriate tasks to student staff, and ensure that they provide an open, welcoming environment.
  • Manage communication strategies and systems to ensure visibility of the Center for IDEAS. Develop and produce publicity materials for programs and services delivered by the department. Oversee and ensure appropriate design of the Center for IDEAS website and publications.
  • Maintain departmental website, ENGAGE pages, and social media platforms to ensure data is correct and marketing/promoting scheduled programming. This includes creating and managing site content, working as a liaison with IC's communications division regarding website development, monitoring site regularly for any outdated information and provide regular updates.
  • Provide assistance in preparing, distributing, and compiling feedback surveys. Assist with the assimilation of data and preparation of reports for event feedback, attendance tracking, and other information related to student engagement with the Center. Prepare spreadsheets and reports; maintain confidential files and record and provide necessary documents for staff member's use.
  • Oversee the day-to-day operations of the IDEAS student lounge and ALS Room to develop appropriate policies and processes for the use of resources. Such as ID access to the spaces, maintaining the supplies/furniture, submitting appropriate maintenance work orders, and ensuring spaces are being used properly.
  • Assist with the coordination and implementation of Center programs. Such as leading logistics and execution of programs that the Center hosts including preparation of materials, room reservations, arranging for meals and refreshments, proper marketing timelines, ensuring student staff scheduling for support, and ensuring proper facility support. At times will be in collaboration with Assistant Director/Director depending on the events occurring.
  • Develop and demonstrate competencies to cultivate an inclusive, diverse, equitable, and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

Required Qualifications:

  • 3 years of experience working in a college/university setting; or Bachelor's Degree in a related field and 1 year experience
  • Excellent customer service skills; team-oriented attitude; strong organizational, interpersonal, verbal, and written communication skills; excellent attention to detail; strong ability to manage competing priorities, meet deadlines and demonstrate flexibility while working independently and as a team.
  • Experience in managing projects and/ or coordinating events, ability to work with different software and technologies related to project management, budget management, website content management, design and publishing, spreadsheet and database management.

Work Environment:

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent may be required to operate a personal computer and associated equipment such as a computer printer as well as other office equipment used in the day-to-day operations. The incumbent may be required to attend workshops, conferences or other developmental meetings. The incumbent may also be required to attend special functions or activities during and after normal business hours. The incumbent may need to travel on and off campus to various functions; may need to drive or to make alternative travel arrangements.
