Basic Duties and Responsibilities

1. Print orders and Bills of Lading.
2. Obtain and distribute diagrams on ships.
3. Obtain surveyor questionnaire for testing requirements.
4. Ensure all required information and documentation has been received for all movement types prior to scheduling (i.e., ethanol, imports, exports, vapor recovery, barge certification of inspections, etc.).
5. Obtain and enter ETAs from barge companies and ship agents.
6. Calculate shore stops.
7. Schedule marine movements per dock, product availability and customer’s specifications including the notification of third-party inspectors as nominated by the customer.
8. Coordinate and schedule pipeline and tank-to-tank transfer movements.
9. Work closely with the Security department and the US Coast Guard to ensure safe marine loading and offloading.
10. Interact with customers as needed to ensure product movements are scheduled accurately and timely.
11. Assemble and distribute order packages, DOI/NCR/MSDS/Vapor Recovery (if needed).
12. Work closely with Marine Coordinators to ensure proper product levels for scheduled moves.
13. Coordinate all direct moves with Truck and Rail, as needed.
14. Special duties as per the customer’s requirements as requested.
15. Enters all pertinent times for marine movements in JDE dock scheduler to close out the order and distributes completed paperwork.
16. After Hours/Weekends/Holidays and as needed by Marine Coordinators and Lead Marine Scheduler:
1. Enter customer orders into JD Edwards system including Special Service Requests (SSR) as needed.
2. Coordinate monthly marine blanket bulk orders.
3. Report to the customer any relevant information relating to delays or issues with their marine moves.
17. Process all trucks to load or unload at the terminal including:
    1. Check truck driver credentials, i.e. driver’s license, TWIC card, etc. Also, check for compliance to ITC safety rules, i.e. facial hair, FRC clothing, other required PPE, etc.
    2. Calculate tank truck loads and record the quantity to load on the paperwork.
    3. Check all paperwork and pertinent information regarding the quantity and unload instructions for tank truck unloads.
    4. For all trucks not processed through automation, including the final bill of lading, the correct safety data sheet, scale ticket, etc.
    5. Separate paperwork and distribute accordingly.
18. Enter all scale tickets into the computer.
19. Maintain all required supplies (i.e. seals, scale tickets, etc.)
20. Acts as central communications center during off-hours and for emergencies.
21. During emergencies, call personnel and handle other instructions, as directed by the Safety Department.
22. Assist the Land Traffic Department, as directed by the Land Traffic Supervisor.
23. Prepare and issue Scale Relief Log.
24. Marine Dispatch/Scalehouse shift relief as needed. 

Skills & Qualifications

1. High school diploma or equivalent.
2. Minimum of three years experience within the terminal or petrochemical industry handling hazardous and non hazardous products.
3. Experience with J.D. Edwards or other ERP systems, all Microsoft Office software, use of the Internet, and ten-key calculator.
4. Good analytical and problem solving skills.
5. Good decision making and communication skills.
