Job Profile Summary:
Provides advanced level human resources expertise for leave of absence and disability administration. The LOA specialist is responsible for ensuring proper administration and communication of our Leave of Absence and Disability programs, in conjunction with our vendor. The LOA Specialist is the primary point of contact for our leaders, team members and HR Team for escalated inquires and requests for policy interpretation, vendor relations, payroll coding, PTO donations and Return to Work. The LOA specialist records and tracks all activity via the case management tool from initiation to resolution. Major Responsibilities: • Day to day facilitation of Advocate Aurora’s leave of absence programs in coordination with the vendor. Addresses inquiries on policies and programs from team members, managers, HR business partners and team member relations via email, phone, instant messenger and the case management tool. • Liaison with the leave of absence and disability administrator to ensure proper administration of leaves of absence and time off programs consistent with applicable federal, state and local laws, as well as with company policy. • Manages and provides direction on denied and noncompliant leaves of absence. Coordinate with leader and/or team member on next steps. • Completes and ensures the accuracy of disability payroll processing, disability payroll and leave timecard coding, and HR system status and date changes for team members on Leave of Absence. • Researches and reconciles data discrepancies between vendor and AAH systems and completes payroll adjustments for over/under payments as needed. • • Performs audits on reports to ensure data quality and integrity between all related systems for disability payroll/leave data. Coordinate with the RN Case Manager, Team Members who are out on extended leave of absence by ensuring medical documentation is up to date and team member case is kept current. • Responds to escalated inquiries into the Human Resources Service Center via telephone, website or email utilizing all available tools and resources. • • Identifies and implements process and procedure improvement opportunities. Experience Required: • Typically requires 3 years of experience in human resources; preferably in shared services. Knowledge, Skills & Abilities Required: Ability to communicate effectively over the phone and in writing with all levels within the organization demonstrating a high level of integrity, ethics and customer service. • • Active listening skills with the ability to ask probing questions to aid in problem solving and issue escalation. Ability to work effectively in high-pressure situations that require sound decision making and may involve confidential or sensitive matters. • • Analytical skills, Critical thinking, and creative problem solving ability • Ability to multi-task effectively in a high-volume environment. • High sense of urgency for meeting commitments and completing assignments according to service level. • Demonstrated knowledge and understanding of Human Resources, Benefits and Payroll. • Ability to consistently deliver high quality customer service in a professional manner. Strong computer skills, including Microsoft Office, human capital management systems, case management and knowledge management tools. • • Detailed oriented with ability to function well in stressful situation. Physical Requirements and Working Conditions: • This position requires travel so will be exposed to road, weather and travel hazards. • Operates all equipment necessary to perform the job. • Exposed to normal office environment
