The IUAA activates IU's powerful global network through live and virtual events, volunteer opportunities, scholarship programs, compelling IU content, and seriously fun traditions.

Additionally, the association develops and supports volunteer leadership, serves as a voice for alumni as the university evolves, and provides lifelong learning opportunities.

Job Summary

The Alumni Relations coordinator is a key member of the Alumni Communities Department, working with each member of that team to provide an excellent experience for our alumni, volunteers, and university partners. This position will be committed to the mission and vision of the IU Alumni Association, interested in curating an inclusive and welcoming environment, and excited about providing excellent administrative and project-based support to a high-performance team.

Department Specific Responsibilities

  • Works internally with IU Alumni Association and IU Foundation staff to execute efficient business processes, provides administrative support to the Alumni Communities Department.
  • Interacts with external clients to provide superior customer service to all who love IU. This role is exposed to and supports a wide variety of alumni engagement initiatives including special events, grant programs, volunteer training and management, meeting planning, financial and data processing, and fundraising efforts.
  • Manages the tracking and reporting of university volunteer efforts.
  • Organizes departmental meetings and retreats in addition to department director's scheduling.
  • Administratively support various projects that align with Alumni Communities efforts such as IU Day and Affinity Engagement.
  • Supports meetings, trainings, and communications for unit partners.
  • Supports the annual Alumni Census.
  • Supports gifts and event merchandise ordering, inventory, and shipping.
  • Organizes the administration of multiple grant programs.
  • Coordinates Association-supported unit financial payments and invoicing .

General Responsibilities

  • Provides exceptional customer service by greeting and assisting customers, and responding to customer inquiries and complaints regarding the organization's products or services.
  • Resolves questions and problems from students, employees, and other stakeholders accurately by explaining and interpreting policies and programs with limited research and guidance; provides answers to questions and resolutions to problems.
  • Makes periodic calls to existing customers to determine satisfaction with the organization, products, and services.
  • Builds and maintains business relationships with a variety of customers, including current and prospective students, parents, employees and dependents, departmental representatives, and other stakeholders, to promote customer loyalty and provide information about university programs and services.
  • Ensures timely and accurate processing of information consistent with university policies. Updates and maintains basic information into databases
  • Redirects complex questions and issues to higher-level appointed staff and/or managers.
  • Maintains high standards of confidentiality of all records and documents.

Qualifications

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

WORK EXPERIENCE

  • 2 years of relevant experience

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This person in this position must be able to be approved to drive an IU motor pool or IUAA owned vehicle. There may be times when travel to another IU campus is required, or working a registration table at an event, during evenings or week-ends.
