JOB SUMMARY:

IRSC is currently seeking a Human Resources Administrative Assistant with strong administrative skills to join our team!

We are seeking a dedicated HR Administrative Assistant who will serve as the first point of contact for our organization, providing exceptional greeting and receptionist services while also supporting various HR functions. In this role, you will warmly welcome visitors and employees, ensuring a positive experience from their arrival to departure. As the face of our company, you will exhibit professionalism, courtesy, and a helpful attitude at all times. Beyond receptionist duties, you will assist the HR department with administrative tasks such as managing schedules, coordinating meetings, and maintaining personnel records. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Additionally, you will be expected to handle confidential information discreetly and with professionalism.

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Assisting and supporting the Associate Vice President of Human Resources, CHRO in maintaining effective, well-organized office operations;
  • Warmly welcome and greet guests;
  • Provide exceptional customer service by addressing guests inquires and concerns promptly and courteously;
  • Answer incoming calls, route them to appropriate personnel, and take messages when necessary;
  • Supporting the Human Resources Team as needed;
  • Maintaining a welcoming and helpful office environment;
  • Assisting with the creation and issuance of employment contracts and Grant non-renewal letters;
  • Maintaining the Human Resources supplies inventory and ordering items as needed and approved;
  • Reconciling P-card statements;
  • Processing Purchase Orders in Workday as well as Creating Receipts in Workday;
  • Assisting with the review of monthly, quarterly and annual reports;
  • Completing special assignments and assisting with Human Resources projects;
  • Scheduling appointments and maintaining the calendar for the Associate Vice President of Human Resources, CHRO;
  • Completing other duties as assigned.

QUALIFICATIONS, KNOWLEDGE, AND SKILL REQUIREMENTS:

  • Minimum of three years working in a progressive human resources or administrative role;
  • Associate's degree from an accredited institution in Human Resources or related field;
  • Additional HR certifications preferred (example: PHR or SHRM);
  • An in-depth understanding of HR programs and practices, including applicable state and federal employment laws and regulations;
  • Excellent verbal and written communication skills;
  • Problem-solving skills and resourceful thinking;
  • Strong empathy and interpersonal skills;
  • Skill in applying and using technology as related to this position including working with Microsoft Office and Windows based applications;
  • Ability to be accurate and detailed oriented; apply good judgement, be self-motivated, and work independently;
  • Ability to multitask;
  • Ability to maintain a high sense of confidentiality.

PHYSICAL DEMANDS:

This position classifies the physical exertion requirements as sedentary work involving lifting no more than 10 pounds at a time and occasionally lifting or carrying articles like docket files, ledgers, and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties. Jobs are sedentary if walking and standing are required occasionally, and other sedentary criteria are met.
