iMentor is Hiring an Associate Director Executive Office Near New York, NY

The Associate Director of Executive Office (ADEO) is an important member of the iMentor team, providing a range of supports to the Chief of Staff and Executive Office. The ideal candidate will be a highly motivated, organized, and meticulous individual who can work independently and is adept at relationship building and communicating in a concise, warm, and direct way. Discretion and confidentiality are significant aspects of this position. This is an exciting opportunity to work with senior leadership, learn and contribute to program, operations and strategy development, and execute on initiatives, projects, and internal and board communications at a high-level of responsibility. The ADEO will work collaboratively with staff across the organization, will represent the Executive Office, and will report to the Chief of Staff. This role will be based in our NYC headquarters.

Strategic Framework

  • Support Chief of Staff in developing process to set annual organizational and team goals, determine KPIs for each goal, and assess progress-toward-goals throughout the year. 
  • Execute that strategy in close collaboration with organizational leaders. 
  • Maximize potential of the software (Culture Amp) we will use for goal setting and tracking, support others in using software. 
  • In collaboration with Chief of Staff develop a communications strategy to share updates to leadership and to organization.
  • Execute the communications strategy and calendar. 
  • Identify and raise up areas of concern, potential misses, and/or opportunities as they arise. 
Board
  • Project manage board meeting/event production, board member onboarding, and other special projects.
  • Manage launch of new board portal and support staff and board in using it.
  • Attend board meetings to take minutes and assist as necessary.
Knowledge Management & Internal Communications
  • Establish a framework and strategy for codifying explicit, implicit, tacit, and procedural knowledge throughout the organization.
  • Partner with internal subject matter experts across key teams (Systems, Product, Innovation) to support them in implementing codified knowledge needed to execute iMentor programming (e.g., processes, procedures, guides). 
  • Participate in planning monthly virtual All Staff Meetings (ASMs), help to develop content, conceive of breakout sessions, collaborate across the organization with national and regional staff so that all have the opportunity to be highlighted for their successes.
Special Projects
  • Support Chief Executive Officer and Chief of Staff on special projects as assigned.
  • Participate on the All-Staff Retreat (ASR) Planning Team, an annual summer opportunity to convene the entire staff to discuss strategy, goals, and build on our departmental and organizational strengths and shared values.
  • While the CEO has an executive assistant, the ADEO may be asked to occasionally provide administrative support as needed.
Qualifications
  • 3-5 years of office experience, ideally working in partnership with senior leadership.
  • Extremely well organized, detail-oriented, independent, strategic, and flexible; someone who can pivot and roll with change.
  • High level of professionalism and discretion.
  • Strong verbal and written communication, including experience creating written content for different audiences.
  • Experience with knowledge and information management a plus.
  • Experience with Culture Amp a plus.
  • Demonstrated alignment with iMentor's mission, values, and commitment to diversity, equity, and inclusion.

  • Bachelor’s degree required.

Compensation & Benefits
  • Salary $75,000 - $80,000 annually
  • Up to 100% employer funded comprehensive medical and dental coverage.
  • 18 days paid annual vacation (increasing annually to 21, 23, 25), 13 paid holidays your birthday one floating holiday, iMentor closed between Christmas and New Year’s Day, plus 6-7 sick days annually.
