IIE Organization is Hiring a Remote Grants and Finance Officer

Job Description:

The Grants and Finance Officer provides administrative oversight for all stages of the grant lifecycle for language and culture DoD funded programs including The Language Flagship, Project Global Officer, and The Language Training Centers. The Grants and Finance Officer facilitates and manages all activity associated with subrecipient awards including budget proposal reviews, award set up and initiation, ongoing maintenance, and monitoring of awards, and close out of awards. The incumbent is a central contact for university partners on all matters relating to grant administration and regularly communicates with both internal and external partners. The Grants and Finance Officer communicates with partners on a regular basis on award process, requirements, and financial compliance. The Grants and Finance Officer also provides high level technical information and financial analysis for internal stakeholders and is a critical member of a collaborative team.

The Institute of International Education (“IIE”) has a hybrid work environment that allows team members a combination of in-office work and telework at any of the locations listed above.

Essential Functions:

  • Assists with grant agreement and contractual pre-award process. Performs budget reviews across programs and follows up with applicants/recipients to resolve budgetary or technical concerns as necessary. Drafts award and contractual agreements as well negotiation memos; negotiates award budgets and term and conditions as necessary.
  • Creates purchase orders for subrecipient awards in the financial system. Maintains all subrecipient awards in the financial system throughout the life of the award.
  • Serves as the subject matter expert in addressing issues in the financial system and ensuring payments are made on a timely basis.
  • Oversees sub-award recipient data in Client Relationship Management (CRM) system, following established procedures. Follows up with team members as needed to ensure all data is complete.
  • Tracks, coordinates, and processes subrecipient invoice payments and ensures proper execution of reviewer travel and reimbursements.
  • Serves as a grant agreement and financial contact for sponsor, sub-award recipients and internal stakeholders (i.e. G&C, Program Finance, Internal Audit). Liaison with Grants and Contracts team regarding complex compliance questions and risk assessments of sub-award recipients.
  • Coordinates and analyzes program data to meet sponsor deliverables and ad hoc data requests as needed.
  • Develops and coordinates G&C trainings and support the team in training initiatives.
  • Provides logistical support for webinars, reviewer panels, and trainings.
  • Communicates regularly with relevant team members within IIE to ensure consistent awareness of work status, that all program needs and deliverables are met on time.

Education and Work Experience:

  • Requires a Bachelor's degree and at least two years of related work experience, or combination education and experience.

Knowledge Skills and Abilities:

  • Excellent interpersonal and communication skills, both written and verbal.
  • A high level of numeracy and a basic understanding of financial management(funding, invoicing and reporting) of sponsored awards.
  • Basic understanding of / interest in regulations including OMB Uniform Guidance (2 CFR 200) .
  • Strong Microsoft Office skills; with emphasis on MS Excel.
  • Ability to work both independently and collaboratively within a team-based structure to meet assigned goals and deadlines.
  • Able to consistently produce high quality, accurate work despite a fast-paced work environment.
  • Interest in language and culture focused international programs.
