IEEE is Hiring a Fellow Program Administrator Near Piscataway, NJ

Job Summary
IEEE Fellow is a distinction reserved for select IEEE members whose extraordinary accomplishments in any of the IEEE fields of interest are deemed fitting for this prestigious grade elevation. Each year, the Fellow Committee makes recommendations to the IEEE Board of Directors for nominees to be conferred the grade of Fellow.
The overall purpose of the Fellow Program Administrator is to assist in supporting the multifaceted evaluation process and the needs of the Fellow Committee. The position also provides support to achieve all aspects of IEEE's envisioned future, core values, and goals. This individual will support the nomination, recommendation, and recognition process using the Fellows Portal system. In addition, the person in this position will help answer questions about the Fellow process through the Fellows alias as well as assist with volunteer relations and other duties as assigned. The position reports to the Fellows Program Manager and does not manage any direct reports and interfaces regularly with other staff departments and individuals who are using the Fellows Portal. The incumbent must be self-motivated and able to work with minimal guidance in a team environment, as well as independently.
Key Responsibilities
  • Fellow Process & Operations
  • Serves as subject matter expert for certain aspects of the Fellow Program
  • Responsible for the inventory and distribution of Fellow certificates and Fellow pins to newly elevated Fellows, as well as replacement requests
  • Fellow Committee Leadership
  • Provides on-site or virtual support at all Fellow Committee meetings, inclusive of preparation of agendas/actions/minutes/reports
  • Fellow Process Data Management
  • Assist with reporting needs (current and historical) of the Fellow Program
  • Following the IEEE Board of Directors' approval, prepare and submit reports of newly elevated Fellows to Society/Council Chairs/Presidents, IEEE Editors, Regional/Section Chairs, and Awards Department, and handle ad hoc report requests
  • Fellow Portal
  • Identify and report issues with the Fellow Portal and work with developers on proposing and implementing solutions
  • Brings forth functional enhancements to the Fellow Portal
  • Participate in testing of all enhancements to the Fellow Portal
  • Assist with facilitating training on all aspects of the Fellow Portal
  • Input and maintain information within the Fellow Portal
  • Fellow Online Presence
  • Suggest changes to the Fellow Website, when needed
  • Responsible for the preparation of Fellow rosters
  • Fellow Program Communications
  • Serve as primary support for the Fellow Portal and the Fellow email alias
  • Collaborate on the design and update of Fellow promotional materials including brochures, presentations and display booth
  • Fellow Committee & Operations Finances
  • Works with vendors, as appropriate
QualificationsEducation
  • Bachelor's degree or equivalent experience Req
Work Experience
  • 2-4 years work experience Req
  • Intellectual command of a wide variety of related documents, policies, regulations, staff organization and volunteer structure Req
  • Must possess a combination of education and experience to work effectively with senior staff and volunteer management in a fast-paced, dynamic work environment that requires excellence in execution, strict attention to detail and confidentiality Req
Skills and Requirements
  • Must be a technologically savvy knowledge worker who seeks out technology solutions to business challenges.
  • Communicates effectively with others in figuring out solutions to complex problems
  • Requires strong interpersonal skills and a customer-oriented demeanor
  • Proficiency in Microsoft Office suite products and regular use of email and the Internet for communication and research
  • Strong experience in web content management systems and technology is a plus
  • Significant contact with senior volunteer leaders; industry, government, and academic leaders; senior management; members; vendors; and varying levels of staff
  • Able to make quick, intellectually sound decisions to resolve a wide variety of issues, requests, and challenges that will vary in complexity and may involve pressurized situations
  • Be able to identify flaws in processes and recommend modifications, as well as review processes, anticipate where the problems may occur, and be proactive in process redesign
  • Effective use of diplomacy and negotiation skills must be tactful, able to perform calmly under pressure, be a team player, adapt to a changing work environment, and lead by example
  • Skilled in presentation software
  • Excellent oral and written communication skills
  • Excellent reading, editing, and proofreading abilities
  • Business fluency in a foreign language will be helpful but is not required
