Technology Operations Coordinator

Primary Function:

Hyphn specializes in workplace services, including furniture, consulting, and technology to support our customers' transition to the future of work. Join our Workplace Technology team, leading in audiovisual solutions, communications platforms, and structured cabling.

As a key team member, you’ll be responsible for supporting the successful execution of Hyphn projects by supporting warehouse operations and coordination with cross-functional teams to ensure project success.

Duties & Responsibilities:
  • Scan, tag, locate, and organize products in warehouse bays accurately.
  • Inspect, document, and photograph damaged products for resolution purposes.
  • Pull, scan, and stage products accurately for delivery.
  • Open and pre-assemble equipment in the warehouse when necessary and as requested.
  • Maintain a clean and safe work environment in the technology cage and lab.
  • Schedule incoming freight deliveries and monitor receiving emails for RMA requests and processing.
  • Manage inventory for technology equipment, tools, miscellaneous items.
  • Prepare and package equipment for outgoing shipments securely to job sites.
  • Participate in pixel and bench testing equipment.
  • Receive and deliver equipment and tools from various distributors on an as-needed basis to support onsite teams.Transport products and equipment to job sites occasionally as required.
  • Collaborate with coordinators, project managers, and foremen on various tasks.
  • Review daily check-ins to determine technicians' tool and equipment needs and communicate/assist where necessary.
  • Manage clothing inventory and order team uniforms and safety gear when necessary.
  • Order stock materials from distributors to ensure sufficient supplies for the technology team.
  • Coordinate vehicle maintenance with our preferred vendor through scheduling services and establishing technician job site locations.
  • Coordinate and supervise technology equipment maintenance, repairs, and upgrades, including ramset/hilti guns, fluke testers, and fusion splicers.
  • Prompt, professional and effective communication with all Hyphn departments, vendors, and customers.
  • Accurate Hedberg quote preparation from DTools import, vendor quote, or other proposal methods, including adding lines to existing orders.
  • Accurate pre-order check ensuring purchasing and accounting requirements are met.
  • Manage purchasing process including placing orders, processing acknowledgements, and updating shipping/tracking information
  • Process change orders as directed by project manager, including generating additional POs and modifying miscellaneous charges as appropriate.
  • Work with the accounting team to understand contract/budgetary discrepancies.
  • Prompt Vendor communication, including requesting quotes, communicating shipping date changes to the WPT Team, order changes or updates, resolving order discrepancies.
  • Fulfill other duties and responsibilities as assigned by Hyphn management.

Job Specifications/Qualifications:
  • Ability to pass drug screen and criminal background check
  • Team player who possesses a positive attitude, is able to work well with others and interact with customers in a polite and professional manner
  • Show initiative and a willingness to learn
  • Strong written and oral communication skills
  • Able to take direction
  • Excellent attention to detail is necessary to be successful in this position
  • Basic computer knowledge, including email
  • Maintain a well-groomed and professional appearance
  • Experience visiting project sites at various stages, including pre-construction
  • Must maintain a valid driver’s license with clean driving record
  • Must be able to maintain the following attributes while under pressure from deadlines: technical capability, professionalism, self-motivation, self-discipline, focus and attention to detail
  • Must be able to maintain a safety-minded approach to all activities
  • Basic computer skills using Google G-Suite (i.e., Docs, Sheets, Gmail, Slides, etc.)

Education:
High school diploma minimum, Associates or Bachelors Degree. Technology-related field preferred, experience in project management required, technology integration preferred

Supervisory Role: None

Physical Demands:

  • Must be able to climb ladders and scaffolding
  • Must be able to lift in excess of 50 pounds
  • Must be able to do moderate physical labor when necessary

Work Environment:
This position splits between Hyphn’s Design Studio, Operations Center, and in the field. This position also requires that the candidate be available for assistance and inquiries between the hours of 6:00 AM - 5:00 PM on weekdays and occasional weekend work.
