Hunter Hamilton is Hiring an Administrative Coordinator Near South San Francisco, CA

Hunter Hamilton is partnering with a large corporate national client and they are in need of a temporary Administrative Coordinator to help cover a leave of absence. This role will assist the office manager in ensuring that state code compliance paperwork meets all requirements and deadlines. The coordinator does work on site Monday through Friday starting at 730am, and should have 1 years of administrative experience ideally in a service type of industry. MS Excel skills are a must and the ability to commit to the entire length of the leave assignment is required. Hunter Hamilton offers hourly/weekly pay, direct deposit and temporary health benefits!
Responsibilities:
  • Review paperwork from customer regarding state code compliance
  • Request proposals from quick quotes for code compliance and state work that require work to be paid by customer
  • Communicates in writing with customer on the items customer is required to complete.
  • Communicate with customer on items the client will complete.
  • Follow-up with mechanic and customer as needed.
  • Log proposals on state tracker and CRM.
  • Prepare and submit booking packet to big machine for booking and tasking.
  • Check with mechanic if work is completed and follow-up any unfinished items and discussed the next step.
  • Update customer the status of prelims.
  • Schedule testing, update calendar and notify customer.
  • Notify State in writing with the testing dates.
  • Send final email to customer with completed paperwork submitted to State.
  • File completed paperwork in Job folder.
  • Performs other duties as assigned.
Requirements:
1 years of administrative experience
MS Office proficiency including MS Excel
Ability to cover the entire leave of absence which may last at least 3 months
Excellent organizational skills and ability to make sure that clients are adhering to deadlines and regulations
