ROLE AND RESPONSIBILITIES

We are seeking an HR Specialist, Payroll and Benefits who leverages their critical thinking skills and an employee focused approach to manage the office payroll and benefit plan administration processes. The ideal candidate would be someone who possesses a high degree of attention to detail and analytical skills, loves the challenge of a fast-paced environment at a growing company, can navigate multiple responsibilities independently and utilizes their previous knowledge to interpret policies and regulations. Someone who gets excited about continuous process improvement and leads by example in an effort to support their team members will thrive in his role. This role interacts regularly with employees, managers and benefit providers.

  • Process multi-state bi-weekly office payroll (385 people) using Spectrum payroll software. This includes setting up new employees/deductions/add-on codes/state taxes, timecard preparation, job cost processing, auditing general ledger accounts, maintaining accurate records, processing automobile allowance and administering vacation accruals.
  • Perform system expert responsibilities for our office payroll system, Spectrum, and our HRIS, Arcoro. May support implementation of new HRIS and integration into Spectrum.
  • Manage 401(k) payroll deferrals and submit contribution files to our retirement plan provider.
  • Complete year-end testing and annual auditing responsibilities for our 401(k) and Employee Stock Ownership Plan.
  • Process and verify detail for annual payroll and tax reporting requirements, i.e. Form 1095-C, and Form W-2.
  • Manage and stay apprised of state and federal payroll, benefits, disability and leave laws and regulations nationwide.
  • Assist the HR Director with benefit plan administration and ERISA compliance, including coordinating annual benefits open enrollment, preparing employee communication and trainings, processing monthly benefit invoices, managing the benefit tax set up, updating records, managing benefit carrier feeds and communicating with benefit providers.
  • Create and deliver total compensation statements to employees.
  • Administer all leaves of absence, disability claims and unemployment functions.
  • Collaborate with the HR Manager to complete the required Affirmative Action, Equal Employment Opportunity, OFCCP and VETS reporting.
  • Partners with other members of the HR team to identify and implement business process, policy and program improvements.
  • Act as an internal consultant to all levels of the company by analyzing, providing interpretation, and reviewing policies and procedures to provide recommendations to management and employees.
  • Complete verification of employment requests.
  • Administrative support to HR functions, including record keeping and file maintenance.

QUALIFICATIONS AND EDUCATION REQUIREMENTS

  • Associate’s or Bachelor’s degree with concentration in Human Resources, Business Administration or Management, Organizational Development or other related discipline.
  • 3 years of experience processing multi-state payroll using a manual system
  • 3 years of experience in Human Resources
  • Intermediate skill level in MS Excel required, expert level preferred; including ability to write formulas, create pivot tables and graphs, produce reports that allow for easy data interpretation and analysis
  • Ability to learn new technology and programs required
  • Understanding of employment and payroll related state and federal laws, regulations and forms; including but not limited to FLSA, ACA, ERISA, FMLA, ADA, COBRA, taxes and Form I-9
  • Familiarity with HR Processes and HRIS software/systems
  • Prior experience with Spectrum payroll software preferred, but not required
  • Previous experience in union and non-union construction industry preferred, but not required
  • Previous experience with an employee ownership culture and ESOPs preferred

WORK SCHEDULE AND ENVIRONMENT

  • Must be able to meet payroll processing demands, primarily but not exclusively on Mondays. This includes the availability and willingness to work extended hours (9 ).
  • Operates in a demanding, fast-paced, people-oriented construction environment with frequent changes and interruptions, and multiple project assignments.

PHYSICAL REQUIREMENTS

  • This job operates in a professional office environment.
  • This role routinely uses standard office equipment such as computers, phones, filing cabinets, photocopiers and fax machines.
  • Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl.
  • This position requires the ability to lift files, open file cabinets, and bend or stand as necessary.
  • This position may occasionally lift up to 10 pounds.
