Humane Society of Indianapolis, Inc is Hiring a Part Time Events Coordinator Near Indianapolis, IN

Serving in the Indianapolis and the surrounding counties since 1905, the Humane Society of Indianapolis provides vital services to animals and people a like through sheltering and adopting animals, providing positive reinforcement behavior training for adoptable animals through our behavior programs and outreach through our community and shelter programs.

Position Summary

We are seeking a dynamic and dedicated individual to join our team in a part-time capacity, approximately 20 hours a week, to provide essential support to our Events & Corporate Relations Manager. This role is pivotal in the execution of our signature events, including the much-anticipated Mutt Strut, the engaging Golf Outing, and the intriguing Murder Mystery Dinner. This position offers a unique opportunity to be at the heart of organizing and facilitating events that are crucial to our mission and community engagement.

Key Responsibilities

  • Collaborate closely with the Events Manager, offering support at both internal and external events to ensure seamless execution.
  • Provide comprehensive logistical and administrative assistance to streamline event planning and management processes.
  • Serve as an additional point of contact during meetings, enhancing communication and coordination efforts.
  • Proactively engage in outreach activities to secure donated items for silent auctions and other pro bono contributions, leveraging strong communication skills.
  • Manage guest lists with precision, ensuring a smooth and welcoming attendee experience.
  • Foster positive relationships with vendors, contributing to the creation of successful and memorable events.
  • Perform a variety of event-specific tasks, including setup, registration, and teardown, demonstrating flexibility and a can-do attitude.
  • Undertake additional responsibilities as assigned, contributing to the team’s success.

Abilities Required

  • Prior experience in special events, demonstrating a passion for creating exceptional experiences.
  • Proven project management skills, with the ability to juggle multiple projects and meet tight deadlines.
  • Proficiency in Microsoft Office suite, enabling efficient planning and organization.
  • Exceptional organizational skills and attention to detail, ensuring the highest standards are maintained.
  • Flexibility to work evenings and weekends, showing dedication to our mission.
  • A strong commitment to the values and goals of IndyHumane.
  • Familiarity with Raiser’s Edge software is advantageous, though not mandatory.
