Position at Hudson Pacific Properties

At Hudson Pacific Properties, we provide best-in-class office space to the biggest names in tech and media (i.e., Netflix & Amazon), and we're seeking a Construction Administrator to assist our project management team in Los Angeles, CA. The Construction Administrator will be responsible for facilitating the organization, administration, and workflow of day-to-day office activities for the Construction department, and provide administrative support to the department in all aspects of assigned functions.
 
What You'll Do
  • Review all departmental invoices for accuracy and code and submit them for approval.
  • Review operation, capital expenditure, and tenant improvement vouchers and ensure proper documentation prior to submittal.
  • Coordinate and document construction activities and projects in conjunction with Project Managers.
  • Draft contracts, change orders, and purchase orders for projects.
  • Manage documentation of capital and tenant improvement projects, including drawings, minutes, correspondence, and close-out packages.
  • Coordinate cash flow reports on projects with project teams to assist in monthly reporting.
  • Assist other departments, outside vendors, and contractors.
  • Compose and type routine correspondence and prepare expense reports for the department.
  • Coordinate and track the manager's schedule, schedule appointments, and travel arrangements.
  • Coordinate meetings and conference calls, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
  • Organize and maintain file system, file correspondence, and other records. 
  • Provide back-up support for all Property Management and Project Management staff.
  • Miscellaneous projects as assigned.
 
What You'll Need
  • Bachelor's degree required.
  • Minimum 2 - 5 years of general office/administrative experience.
  • Minimum of 2 years of experience in commercial real estate or related industry.
  • Knowledge of basic accounting procedures.
  • Excellent computer skills and demonstrated working knowledge of computers and software, including MS Windows, Outlook, Word, and PowerPoint. Proficient in using MS Project for management and Excel for budgets and spreadsheets.
  • Familiarity with accounting software programs such as Nexus and MRI.
  • Familiarity with Property Management software such as Workspeed.
  • Polished professional demeanor with excellent written and verbal English communication skills to write memos, letters, and reports and interact effectively with contractors, tenants, peers, vendors, and management.
  • Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
  • Good organizational skills.
  • Ability to multi-task, attention to detail, and excellent follow-up skills.
  • Ability to adapt to changing environments and perform in a fast-paced entrepreneurial environment.
 
Salary Range: $33.00 to $37.00 an hour USD
