The Service Dispatcher is the first point of contact for customers. He / she is responsible for promptly responding to customer inquiries, delivering amazing customer service, coordinating and dispatching work orders to technicians, tracking jobs, creating estimates, and invoicing.
They will be responsible for ensuring that all work orders are properly documented, scheduled, and completed in accordance with established timelines and procedures.
The Service Dispatcher will work closely with technicians, customers, and other team members to ensure that all work orders are completed to the satisfaction of the customer.
Receive and process work orders
Respond to emails from customers and clients in a timely and professional manner
Schedule and dispatch work orders to technicians based on availability, skills, and priorities
Create estimates and invoices for work orders and accurately calculate the cost of labor and parts needed to complete the work order.
Monitor work order progress and proactively communicate updates on the status of their work orders.
Maintain the work order management system, ensuring that all work orders are documented and tracked properly.
Coordinate with other team members, such as managers and administrators, to ensure that work orders are completed in accordance with established procedures.
Resolve any issues or conflicts related to work orders, such as scheduling conflicts or customer complaints.
Identify opportunities for process improvements and make recommendations to management.
Monitor maintenance technicians to ensure job completion and quality.
Demonstrated critical thinking and analysis skills
Experience in dispatching or scheduling a team of people
Strong communication and interpersonal skills
Ability to prioritize tasks and work under pressure
Strong organizational skills and attention to detail
Ability to work independently and as part of a team
Proficient in GSuite and other computer applications
Experience in a technical field (HVAC, plumbing, electrical, etc.) preferred
