Job Description:

As an Administrative Clerk at MidFlorida Materials, you will play a crucial role in providing administrative support and maintaining efficient operations within the organization. Your responsibilities will involve a combination of clerical duties, record-keeping, and customer service tasks to ensure the smooth functioning of our office.

Key Responsibilities:

  • Perform general clerical tasks such as data entry, filing, photocopying, and scanning documents.
  • Assist with managing and organizing office records, including invoices, permits, and other important paperwork.
  • Respond to inquiries from customers, vendors, and internal staff in a professional and timely manner.
  • Maintain accurate and up-to-date records of incoming and outgoing shipments of waste materials.
  • Coordinate scheduling and logistics for waste disposal services, working closely with operational teams.
  • Assist with billing processes, invoicing, and reconciling accounts payable/receivable.
  • Support the office manager with various administrative tasks and special projects as needed.
  • Ensure compliance with company policies, safety regulations, and environmental standards.
  • Collaborate with team members to promote a positive work environment and uphold company values.

Requirements:

  • High school diploma or equivalent; additional certification in office administration is a plus.
  • Proven experience in an administrative role, preferably in a similar industry like waste management or environmental services.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and knowledge of basic office equipment.
  • Strong organizational skills with attention to detail and the ability to multitask effectively.
  • Excellent communication skills, both written and verbal, with a customer service-oriented approach.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Knowledge of waste management regulations and procedures is desirable but not required.

Physical Demands. The following physical demands are representative of those that must be met by a Construction Intern to successfully perform the essential functions of this job. Regularly required to sit and/or stand during a regular work shift of at least eight hours per day.

  • Employee is occasionally required to stoop, bend, walk, crouch, and climb.
  • Ability to lift and carry, on a frequent basis, at least 50-90 pounds personally.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Continuous mental attention required to complete tasks in an efficient manner.
  • Exposure to dust, dirt grease and noise.
  • Frequently walk on uneven surfaces, including natural ground and slopes in varying weather conditions.
  • Must be able to work a flexible schedule, based on project need(s) and demand(s).

Work Environment. The work environment characteristics described below are representative of those that a Construction Intern encounters while performing the essential functions of this job. Work is performed indoors and/or outdoors in all weather conditions. Work environment periodically exposes the employees to high levels of noise, grease, and dust that is typically associated with a construction project. Employee regularly works near heavy equipment and moving machinery. Work may involve a variety of substances commonly found on construction sites such as form oil, grease, curing compounds, gasoline, diesel fuel, and ready-mixed concrete.
