Responsibilities
Check guests in and out of the hotel
Administer hotel guest payment policies
Handle hotel phone system, transfer calls and take messages for guests and hotel staff
Place, modify, and cancel guest reservations
Ensure all check-in reservations have a credit card on file
Input all reservation changes and any special requests into the Cloudbed system
Maintain an accurate daily inventory of available rooms
Coordinate with other departments to fulfill special guest requests
Coordinate and communicate with hotel management staff as needed
Communicate hotel facilities and services to guests at check-in
Must be able to provide information regarding local area facilities for guests
Administer all hotel policies, procedures, and standards
Responsible for maintaining hotel key security
Be knowledgeable of any special promotions or rate programs
Be knowledgeable and enthusiastic about the city of College Station, TX
Serve beer, wine, and snacks to bar patrons following all state and federal laws
Maintain cleanliness and orderliness of the front desk and lobby area
Know how to properly handle wake-up calls
Ensure all credit cards, cash, and change funds are balanced throughout the shift
Communicate with incoming staff and management by logging pertinent information in the front desk logbook
Follow the Lost & Found process for any items reported
Notify housekeeping and maintenance of any reported problems in guests' rooms or on hotel grounds
Assuring guest packages are received by the recipient
Other Duties and Responsibilities
Inform housekeeping of dirty rooms as they become available
Update room status as housekeeping notifies the desk of changes
Track the status of rooms used for site tours or out-of-order for maintenance
Attend weekly front office staff meetings
Assist other departments as needed or assigned
Work and communicate with other departments to ensure the smooth operation of the hotel
Skills & Required Qualifications
Must be 21 years of age or older
At least 1 year of hotel front desk experience, bartending experience a plus
Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, production methods, and coordination of people and resources.
Knowledge of economic and accounting principles and practices, banking, and the analysis and reporting of financial data
Excellent oral and written communication skills
Expert computer skills, ability to compose and create reports, letters, memos, and procedures
Mature judgment and professionalism in handling all matters
Required knowledge of administrative and clerical procedures and systems such as managing files and records and other office processes, procedures, and terminology
Ability to read and understand information and ideas presented in writing
Excellent math skills
Excellent organization and problem-solving skills
Knowledge of the Hotel’s Property Management Software
Understanding and approval of the Hotel McCoy Culture (Travel for All)
Business correspondence writing skills
G-suite: Gmail, Gchat, Google Docs, and Sheets
Must obtain state alcohol serving permit/sanitation training within first two weeks of hire (company provided)
Working Conditions & Physical Effort
Reaches, bends, stoops, lifts, carries, and pushes
Lifts and carries supplies and cases, weighing up to 50 lbs
Essential hand/eye coordination
Work is normally performed in a typical interior and exterior hotel work environment
Noise level is moderate to high
Limited exposure to physical risk
Moderate physical effort required
Stand and/or sit for extended periods
