The purpose of this position is to perform a full range of accounts receivable duties including invoicing for all types of revenue sources, cash application, revenue recognition, collections, monitoring receivables, and maintaining records for multiple entities and business units. Produces and maintains accounting records in Fonteva, EventsAir and NetSuite (and other systems as applicable such as various registration systems) related to accounts receivable, revenue, and cash receipts, in accordance with established procedures and guidelines. Responds to questions and service requests from internal and external customers.

Essential Functions:

• Generates and mails/e-mails invoices for HIMSS and its subsidiaries for various products and services (including exhibits and sponsorships among many others) utilizing various systems. This includes interacting with the business areas and sales teams to ensure the appropriate product/service is being billed and revenue recorded in the applicable profit center and account.
• Processes and analyzes cash, lockbox, credit card, and web receipts. Records deposits, including computer entry into appropriate systems and distribution as needed. Applies receipts to outstanding receivable balances and/or revenue categories. Verifies accuracy of postings.
• Monitors status of receivables collection and aging of outstanding balances. Makes accounts receivable collection phone calls/e-mails for various HIMSS products and services. Assists in keeping business areas and sales teams informed of collection status and works with them as needed. Maintains accurate and organized records.
• Develops and produces revenue, receipts, and accounts receivable reports for distribution and analysis.
• Monitors and ensures compliance with established policies and procedures for receivables and revenue processing. Suggests revisions to procedures to increase efficiency and effectiveness.
• Responds to requests from internal and external customers within established timeframes. This includes requests obtained via the Finance customer service ticketing system.
• Participates in the monthly close process related to receivables and revenue. Provides accounting support as assigned to ensure that monthly closing schedule tasks and deadlines are met and financial statements are generated on time.
• Performs account reconciliations, most specifically related to financial transactions for smaller conferences and events. creates journal entries and/or revisions to data in sub-systems to adjust activity as needed.

What you will need to be successful:

• An Associate’s Degree or equivalent experience.
• A minimum of four (4) years of experience in billing, accounts receivable, and general accounting handling journal entries and account reconciliations; previous experience in a professional society, trade association or healthcare management preferred.
• Tactful, professional demeanor. Excellent written and verbal communication skills.
• PC proficiency, including MS Outlook, Word, and Excel; experience with Fonteva, NetSuite or other billing, receivables, exhibit management, customer management software Experience with NetSuite desirable.
• Outstanding analytical skills with ability to achieve results in a complex environment.
• Ability to apply established policies, standards, and processes and suggest revisions.
• Outstanding interpersonal skills. Tactful, professional demeanor. Ability to communicate with staff at all organizational levels. Strong personal integrity.
• Attentiveness to detail, accuracy, and follow-through.
• Experience with journal entries and account reconciliations.
• Customer focused with assertive, self-confident personality. Ability to work in a fast-paced environment with multiple tasks.
