As the Maintenance Administration Manager, you will be responsible for providing leadership, coordination, and management of Highlands’ maintenance support staff. The role specifically oversees our warranty administrator associate(s), compliance and asset management associate(s), and inventory/parts associate(s), who ultimately control Zuper, Highland’s Enterprise Asset Management platform. In addition to managerial responsibilities this role will assist maintenance leadership as an accounting liaison for budgeting, forecasting, and bid modelling.

Key Responsibilities:

  • Oversee overall maintenance cost management, planning, systems, and controls for Zuper
  • Build, develop, and lead highland’s Warranty, Part Inventory, Asset Management functions and institute KPIs for various categories of oversight
  • Administer the use of Zuper, ensure data integrity is maintained within the Maintenance department and act as conduit to other departments requiring data resources out of Zuper
  • Responsible for the build and ongoing refinements of new bus and charger maintenance models, coordination, and ongoing administration of the maintenance budgets, and forecasting per location, area, and organization
  • Develop and deliver relevant reports and maintenance metrics to leadership
  • Assist in building visibility into various business processes by implementing monthly financial reporting procedures and measurement tools providing input on enhancement opportunities
  • Track special/ad hoc maintenance projects using business cases, financial models, and staffing models to evaluate plans, methodologies, timeline, resources and project economics
  • Liaison to outsourced title and registration partner to ensure vehicle tagging process is administered to process and meet commercial operational dates.
  • Work closely with the Maintenance Operations and Finance teams to manage capitalized equipment, run useful life assessment analysis and reporting, and set up netbook value tracking to ensure common sense repair practices
  • Oversee the structure, implementation, and enforcement of the warranty programs working closely with Dealers (CPWA), OEMs, and vendors
  • Lead the development and implementation of inventory control procedures and the end-to-end inventory management for all Highland’s assets
  • Define and implement maintenance invoicing standards, processes and workflows working closely with Finance and external stakeholders and roadmap of accounting from asset management software
  • Key creator, contributor, and manager of maintenance intranet data base for field forms, SOPs and standardization of process flows
Qualifications
  • 5 years of relevant experience
  • 3 Years of management experience preferred
  • Transportation industry knowledge preferred
  • Knowledge of ERP and EAM systems
  • Budgeting and P&L experience required
  • Demonstrates strong project management leadership skills including, critical ability to coordinate and balance multiple projects in a time-sensitive environment, under pressure and deadlines
  • Demonstrated ability to identify and recommend process improvements
  • Demonstrated strong relationship management skills with internal clients (e.g. senior management, peers and colleagues); proven ability to develop creative and collaborative approaches
