Primary Tasks
· Run monthly rental invoices and late notices for tenants.
· Coordinate the distribution of monthly tenant’s statements and letters through the Building managers and Security Director.
· Ensure accurate posting of tenant’s payments and balances in the AR system.
· Communicate regularly with tenants about open balances on their accounts.
· Track tenant balances and report any overdue rental payments.
· Coordinate inquiries into tenant payments with personnel from other departments.
· Review monthly delinquent reports and recommend tenants to be sent out to legal.
· Reconcile tenant ledger accounts on a monthly basis.
· Refer all tenant ledger adjustments to CFO for approval before been posted.
· Meet with tenants to resolve any issues they might have about their account or refer them to the appropriate department if they have other issues.
· Track and report to CFO all monthly Section 8 and other subsidy payments that have been suspended.
· Provide information to attorneys dealing with landlord/tenant legal cases.
· Represent company at court in cases involving their tenants.
· In coordination with supervisors, track and coordinate with attorneys on all of the on-going landlord-tenant/collection cases.
· Coordinate with Administrators of Security and Tenant Services on all legal cases involving tenant evictions and temporary access to apartments.
· Coordinate with the Director /supervisor of Tenant Service and Repairs with regards to tenant apartment repairs mandated by subsidy payers and court stipulation and monitor repair status and due dates in advance through the CFO.
· Ensure regular update of tenant notes in the AR system for all tenant interactions.
· Run month end Legal and Collection report for management.
· Assist with year-end audit preparation and final audit work for AR balances.
· Perform additional duties as assigned by the CFO and senior management.
· This position reports to the CFO.
