High Star Traffic is Hiring a Contract Specialist I Near Bartlett, IL

Summary: Under direct supervision this role will learn the importance of contract invoicing, accurately and efficiently as possible for revenue to be recognized promptly by the finance department. Through data entry, verification and reporting, this supporting role will assist in generating accurate invoices.
Duties & Responsibilities:
  • Administratively support the contract team.
  • Receive and separate driver paperwork, determine the difference between tracked, billed, and filed tickets.
  • Assist with invoicing items to be billed by the contract department (AUP’s, Rentals, FRC Accounts, Lane Closures, etc.).
  • Apply strong attention to detail, maintain daily updates on various spreadsheets for each job.
  • Work with dispatch, upper leadership, and the contracts Team to assist with missing information.
  • Assist with generating “Waiver of Lien to Date” and “Final Waiver of Lien” as requested by the contractor.
  • Data entry of invoices into accounting system, verifying accuracy of information that is being applied.
  • Support in gathering certifications of materials and submitting required documentation to General Contractors and consultants.
  • Enter invoices of 2nd Tier subcontractors into accounting system following approval from Senior Team member.
  • Pull and file physical paperwork as required.
  • Continuous learning of specific contract language, requirements, and compliance.
  • Other projects and initiatives that drive organizational goals and results.
Supervisor Responsibilities:
  • None
Education, Certifications & Qualifications:
  • HS Diploma or GED.
  • Associate degree or Certification preferred but not required.
  • 1-3 years’ business, office and/or contracts experience required.
  • Prior experience utilizing MS office.

  • Must have strong problem-solving skills and a desire to create solutions.
  • Must have the ability to work in sensitive and confidential situations.
  • Prior experience working under tight deadlines with changing priorities.
  • Ability to uphold regulatory and company standards.
  • Ability to respond to common inquiries or complaints from internal or external customers.
  • Excellent oral and written communication skills.
  • Ability to establish and maintain rapport and effective communication with diverse levels within the company and external organizations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.

The employee is moderately required to stand and may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, and ability to adjust focus.
This position will work in an office setting but may travel to off-site locations and therefore require wearing all PPE depending on circumstance which may include dust mask, safety glasses, hard hat, ear protection, safety vest and/or steel toed footwear. At times client contract driven PPE may also be required.
