Hess-Verdon & Associates is Hiring a Receptionist/File Clerk Near Newport, CA

High Profile Newport Beach Law Firm looking to fill a Receptionist/ File Clerk position for our office in the heart of Fashion Island. You will be the one of the first point of contact, and must be a polished individual with great communication capabilities. Each applicant must have a front desk experience and currently living in Orange County.

JOB RESPONSIBILITIES

  • Provide coverage to the front reception desk. Operate multi-line telephone system to answer all incoming calls and route callers to the appropriate personnel. Escalate urgent telephone calls when necessary; greet office visitors and respond to their needs.
  • Assist in greeting clients, and visitors in a friendly and professional manner
  • Assist in client Intake calls
  • Communicate professionally, in a clear and concise manner
  • Work independently with minimal supervision
  • Perform all other related duties as assigned and/or required.
  • File documents in accordance to Firm procedures, placing an importance on accuracy.
  • Make copies of legal records; invoice Particulars packages, Motions, Settlement packages.
  • Assist Legal Teams with the scanning of any documents.
  • Perform administrative duties (filing, photocopying and faxing) in an efficient and timely manner
  • Complete word processing tasks (correspondence, reports, memo, proposals, charts, agreements, etc.)
  • Create and maintain electronic and hard-copy filing systems conducive to individual Business Unit needs with supervision

  • Ability to maintain a high level of accuracy in preparing and entering information.

  • Computers skills including proficiency with Microsoft Office products, i.e., Word, Excel, Outlook.
