Position Summary:
As a Donor Care Coordinator at Hesed House, you will play a crucial role in managing and
maintaining the organization's donor database system and donation processing. You will be
responsible for accurately recording and tracking donor information, coordinating donation
processing, and ensuring effective and timely communication with donors. Your efforts will
contribute to sustaining and growing Hesed House's donor base, enabling the organization to
provide critical support to individuals and families experiencing homelessness. This role is a
cornerstone to all work done by the Development team, enabling our pillar of Gratitude.
Key Responsibilities:
1. Donor Database Management:

  • Maintain a comprehensive donor database system to accurately track and manage donor
information.
  • Regularly update donor records, including contact details, donation history, preferences, and
communication preferences.
  • Ensure the confidentiality and security of donor data, adhering to data protection regulations
and internal policies.
  • Import mailing and other codes into constituent records throughout the year.
2. Donation Processing and Gratitude:
  • Oversee the timely and accurate processing of donations, including cash, checks, online
payments, ACH transactions, and in-kind contributions.
  • Generate and send acknowledgment letters or receipts to donors promptly, expressing
gratitude and providing necessary tax information.
  • Ensure monthly donations are entered by deadlines on a regular basis, and reports are pulled
for overall organizational financial health.
  • Collaborate with the finance department to reconcile donations and maintain accurate
financial records.
  • Work with volunteers to help with gift entry and gratitude work, especially in the holiday
months.
3. Donor Communication and Engagement:
  • Respond to donor inquiries, resolve issues, and provide exceptional customer service to foster
donor satisfaction.
4. Reporting and Analysis:
  • Assist in preparing comprehensive reports for donor engagement, grant reports and
applications, and board meetings. (as needed)
Additional Duties:
  • Support Hesed House events and activities (as needed)
  • Engage with donors in person Hesed House (as needed)
  • Help with thank you calls and other points of gratitude (as needed)

QUALIFICATIONS, EDUCATION, and/or EXPERIENCE

  • Must ascribe to the Hesed mission: "To feed the hungry, clothe the naked, shelter the
homeless and give people the chance to hope again.”
  • Bachelor's degree in a relevant field (such as nonprofit management, communications, or
business administration) or equivalent combination of work/education experience.
  • Experience in managing multiple software systems and donor databases or CRM systems,
preferably in a nonprofit setting preferred.
  • Previous experience with Raiser’s Edge, Raiser’s Edge NXT, and Microsoft Office Suite
preferred.
  • Previous experience with fundraising software such as OneCause preferred.
  • Understanding of nonprofit organizations and the issues surrounding homelessness. Work in a
fast paced, sometimes chaotic environment.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Excellent written and verbal communication skills, with the ability to convey information
clearly and persuasively.
  • Familiarity with fundraising principles and donor stewardship practices.
  • Highly organized and able to manage multiple tasks and deadlines.
  • Ability to work independently and collaboratively as part of a team.
  • Strong ethical standards and ability to handle sensitive and confidential information.
  • Must pass DCFS and criminal background checks
