Job Description:

As a part time Event Planner at Heartsend you will play a pivotal role in the planning, coordination, and execution of a wide range of events in Columbus, Ohio, and surrounding areas. You will work closely with clients to understand their vision, goals, and budget, and then leverage your creativity and organizational skills to bring their events to life.

Responsibilities:

  • Client Consultation: Meet with clients to discuss event objectives, themes, budget, and logistics.
  • Event Conceptualization: Develop creative concepts and themes for events based on client preferences and objectives.
  • Venue Selection: Identify suitable venues for events based on client requirements and budget considerations, coordinate site visits.
  • Vendor Management: Source and manage relationships with vendors including caterers, florists, decorators, audio-visual technicians, and others. Obtain quotes, and ensure all vendors deliver high-quality services.
  • Logistics Coordination: Coordinate all logistical aspects of events including entry, arrival, agenda, and staffing.
  • Budget Management: Develop and manage event budgets to ensure profitability and cost-effectiveness.
  • Timeline Development: Create detailed event timelines outlining key milestones, deadlines, and responsibilities for all parties involved.
  • On-Site Event Management: Oversee event setup, execution, and breakdown. Serve as the main point of contact for clients and vendors during events, ensuring smooth operations and addressing any issues that may arise.
  • Post-Event Evaluation: Conduct post-event evaluations to assess the success of events and gather feedback from clients and attendees. Identify areas for improvement and implement changes for future events.
  • Stay Current with Industry Trends: Keep abreast of industry trends, best practices, and emerging technologies in event planning and management.

Qualifications:

  • Bachelor's degree in Hospitality Management, Event Planning, Marketing, or related field preferred.
  • Proven experience in event planning and management, preferably in a similar role.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication and interpersonal skills, with the ability to build rapport with clients, vendors, and team members.
  • Creative mindset with a keen eye for detail and design.
  • Proficiency in event management software and Microsoft Office Suite.
  • Flexibility to work weekday evenings, as required by event schedules.
  • Knowledge of the Columbus, Ohio area and local venues/vendors is a plus.
